SUMMARY
The Facility Manager I is responsible for operations and budget management, service delivery management, project management, client relationship management, health and safety, and emergency preparedness and business continuity for an assigned portfolio.
Key responsibilities include:
- Managing low to moderate-sized portfolios, facilities of low to moderate complexity, and contract requirements of low to moderate complexity
KEY DUTIES & RESPONSIBILITIES
For the assigned portfolio:
- Manages operations and maintenance activities, as well as annual facility programs
- Responsible for ensuring facility uptime objectives are met
- Creates and implements annual facility management plans
- Collaborates with stakeholders to implement facility-related programs
- Oversees maintenance and repair activities and performance of internal Technicians and service providers
- Ensures all relevant documentation is captured within service maintenance databases
- Collaborates with stakeholders to evaluate capital assets and make recommendations for maintenance, repair, and replacement
- Continuously seeks ways to gain greater efficiencies through best practices and sustainable initiatives
- Collaborates with stakeholders to optimize assigned portfolio and create value for the client
SERVICE DELIVERY MANAGEMENT
- Responsible for meeting client obligations
- Resolves problems and conflicts, maintaining open communication with the client
- Recommends solutions and implements actions for issues
- Monitors service delivery performance against established metrics
- Ensures compliance with legislated, corporate, and industry-related requirements
RISK MANAGEMENT, EMERGENCY PREPAREDNESS AND BUSINESS CONTINUITY PLANNING AND EXECUTION
- Executes emergency preparedness, risk management, disaster recovery, and business continuity plans
- Collaborates with stakeholders on incident management-related requirements
- Acts as the focal point of contact for health and safety-related issues
- Administers vendor safety-related accreditation, training, and qualification
- Organizes and facilitates health and safety-related meetings with vendors
CLIENT RELATIONSHIP MANAGEMENT
- Develops and maintains effective relationships with clients, ensuring ongoing client satisfaction
- Acts as the focal point of escalation for issues pertaining to facilities managed
BUDGET DEVELOPMENT & MANAGEMENT
- Responsible for meeting budget for assigned portfolio
- Develops and manages budget for portfolio and project expenses
- Liaises with Finance to ensure affordability, budget management, and ongoing profitability
PROJECT MANAGEMENT
- Develops and executes project plans and related estimated costs and budget for assigned portfolio
- Liaises with stakeholders to ensure projects are delivered with minimum disruptions to facilities
REGULATORY COMPLIANCE
- Ensures all regulatory compliance requirements have been performed and documented
- Collaborates with Procurement and Supply Chain Administration teams to source and qualify vendors
- Ensures the availability of an adequate inventory of tools and supplies
KNOWLEDGE & SKILLS REQUIRED
- Community college diploma or equivalent training (e.g., RPA, CET)
- 1 to 3 years of facility management work experience; or 3 to 5 years of facility-related work experience
- Facility operations and maintenance management abilities
- Proficiency with facility equipment and building systems
- Budget management abilities
- Client relationship management abilities
- Project management abilities
- Emergency preparedness and business continuity planning and execution abilities
- Sustainability mindset and knowledge of health and safety requirements
