Fiacon Facility Services is a leader in providing commercial cleaning and building services across Australia. We keep workplaces running smoothly — and now we're looking for someone who can help keep our business running just as smoothly.

This role is a mix of Operations Assistant and Office Manager, and it's an important one. You'll be the person who keeps the wheels turning day to day, makes sure nothing slips through the cracks, and communicates clearly with the team when things need to get done.


What you'll be doing

* Supporting daily business operations in our Operations team and assisting Management when needed
* Processing all new work our Sales team brings in, having this ready for the Operations team to lead
* Managing hygiene, bathroom and waste services for our clients nationally
* Coordinating, managing and reviewing One Off Jobs with our existing clients
* Managing our online safety training portals
* Managing our in-house geofence program our cleaning teams utilise daily
* Managing our office — keeping it organised, stocked and running well
* Handling HR-related tasks such as onboarding, documentation and staff records
* Managing business insurances and ensuring compliance items are up to date
* Liaising with our external partners (IT, Legal, HSEQ) and managing projects
* Being a clear, friendly point of contact for staff and external partners
* Helping bring structure and flow to a busy, fast-moving business


This role is for you if you are:

* Sharp and switched on — you notice details and think a step ahead
* Dependable — when you say you'll do something, it gets done
* A strong communicator — comfortable talking to different people and following things up
* Computer whizz — competent in Microsoft Office, Outlook and can troubleshoot simple IT issues
* Organised but flexible — you like structure, but can adapt when things change
* Happy working in the office full time — this is a hands-on, in-person role


Experience


Experience in operations, office management or administration is highly valued — but attitude matters just as much. If you're capable, proactive and willing to learn, we want to hear from you.

This role will have thorough training, with at least 3 months of side by side training with our current Operations team so you can become familiar and feel supported.
