Overview
The position contributes to the efficient and effective operation of the Integrity Commission by providing efficient, effective business administration, financial services, and the coordination of tenancy and IT related services within the Corporate Services Unit, including by:
* managing and providing business and administrative services to ensure the Commission meets and reports on its core business requirements/achievements
* invoicing, budget preparation and forecasting
* procurement, coordination and management of services providers
* ensuring business systems usability and integration and reporting in conjunction with the Department of Justice (DoJ) – ICT, Office of the CIO business unit.
Responsibilities
* Coordinate the Commission's expenditure transactions and procurement processes in accordance with Government financial policies, procedures and relevant legislation.
* Assist the Director, Corporate Services with coordination and preparation of the Commission's budget and monitor and assist with reporting on projected costs and revenue throughout the year.
* Assist the Director, Corporate Services to ensure compliance with all relevant external statutory reporting requirements: supporting audits, monitoring of the Service Level Agreement; and providing administrative support to the Commission's Risk and Audit Committee.
* Monitor, maintain and communicate a manual of core operational, administrative and IT policies and procedures for the Commission and ensure privacy law and cybersecurity are considered in the development of procedures, where relevant.
* Coordinate, maintain and monitor inventory and strategic risk registers and business continuity plan.
* Administer all the Commission's tenancy requirements, including co-ordination of all related services, including access fob management for Commission staff, and building maintenance.
* Act as the Commission's liaison / conduit with relevant operational service providers, both within Government and external to the Commission.
* Coordinate the Commission's IT infrastructure requirements, including regular system updates and improvements and support primary and secondary system administrators for critical business systems, by working with external providers, internal suppliers (e.g. DoJ ICT team), and internal users (e.g. Commission staff).
* Perform duties as primary Web Editor, supported by DoJ Web Services team.
* Other duties relevant to the Corporate Services Unit as required by the Director, Corporate Services or the CEO.
Essential Requirements
* A security vetting process to obtain Baseline security clearance (access to classified information and resources up to and including PROTECTED). This process requires the Australian Government Security Vetting Agency to collect personal information to assess suitability. Australian citizenship is a requirement of security vetting.
* A pre-employment check on any disciplinary or managerial action in any previous employment.
* Identification check.
Desirable Requirements
* A tertiary or post-secondary level qualification relevant to administration, procurement, technology, financial management, accounting or other relevant discipline, or substantial progress towards completion of a qualification along with relevant administrative experience.
* Experience working in or with the Tasmanian public sector or equivalent.
