As the owner is looking to step back from daily operations, we're looking for a vibrant, capable Office Manager to help us run smoothly, keep the team supported, and drive improvements across the business.
The Role: Why It Matters
This is a pivotal role. You'll be the backbone of our day to day operations, helping ensure everything from administration, bookkeeping, finance and IT support to people management runs seamlessly.
Reporting directly to the Managing Director and working closely with our external accountants and advisors, you'll play a central role in keeping the business organised, efficient and forward focused.
Key Responsibilities
Office Operations & Administration
- Oversee daily administrative operations: reception, correspondence, phone calls, mail, document flow
- Manage office supply inventory, equipment procurement and vendor relationships
- Ensure facilities, infrastructure and equipment remain functional, coordinate maintenance, repairs and service contracts
- Maintain organised and up to date filing and record systems (physical & digital)
- Develop, refine and enforce office policies, standard operating procedures and best practices
Financial & Budget Oversight
- Manage accounts payable and accounts receivable, ensuring timely payments and collections
- Oversee payroll processing, superannuation and employee entitlements
- Assist with BAS, GST and other tax reporting requirements
- Reconcile accounts and prepare monthly financial reports for management
- Support budgeting and forecasting processes
- Process invoices, expense claims, procurement approvals and vendor payments
- Liaise with external accountants, auditors and advisors to ensure compliance and accurate reporting
People & HR Support
- Assist with recruitment, onboarding, training and induction of new staff
- Maintain employee records, leave management, performance reviews and staff communications
- Act as a point of contact for internal employee queries
- Support safety, compliance and workplace policies
IT & Systems Support
- Provide basic IT support for the team, including troubleshooting hardware, software and connectivity issues
- Manage office technology and liaise with external IT providers when needed
- Maintain and improve digital systems, ensuring staff are supported and processes run efficiently
Coordination, Scheduling & Communications
- Organise internal meetings, team events, travel arrangements and calendar coordination
- Serve as a liaison with clients, contractors, suppliers and visitors
- Coordinate administrative projects, internal initiatives and continuous improvement tasks
- Prepare reports, presentations, summaries and ad hoc documentation for leadership
Improvement & Leadership
- Identify inefficiencies and propose solutions, streamline workflows, systems and processes
- Lead, guide, and support staff
- Foster a positive office culture, teamwork, communication and high morale
What We're Looking For
Must-haves:
- Proven experience (2–5 years or more) in office management, administrative leadership or related role
- Strong organisational, time management and multitasking skills
- Proficiency with Microsoft Office (Excel, Word, Outlook), and confidence troubleshooting IT/computer issues
- Excellent written and verbal communication skills
- Exposure to budgeting, basic accounting and finance tasks
- Attention to detail, initiative, problem solving mindset and ability to work autonomously
- Ability to maintain confidentiality and sound judgement
Desirable:
- Previous experience in a technical, engineering or manufacturing environment
- HR / recruitment background or exposure
- Knowledge of safety, compliance and risk management processes
