About The Role:

The successful candidate will be responsible for ensuring the smooth daily operation of the office and reception, providing exceptional administrative support to executives and staff. This role involves facilities management, travel coordination, HR support, WHS compliance, and cross-functional team collaboration.

Key Responsibilities:

1. Serve as the first point of contact by answering and directing incoming calls, welcoming visitors at reception, and delivering consistently high levels of customer service
2. Ensure the efficient day-to-day operations of the office, including ordering supplies, coordinating facilities maintenance, and overseeing cleaning services
3. Provide comprehensive administrative and ad hoc support to executives and staff, including document preparation, filing, mail distribution, purchasing, and running errands as needed
4. Organise and manage domestic and international travel arrangements, including flights, accommodation, and ground transportation
5. Collaborate with HR and management to support staff wellbeing programs, coordinate internal events, and contribute to engagement and cultural initiatives
6. Offer assistance to staff in remote office locations, helping to facilitate seamless support and communication
7. Ensure assigned WHS-related responsibilities are fulfilled
8. Perform other duties as required to support the broader needs of the business

Essential Requirements:

* Strong leadership skills that develop and promote a positive and proficient team culture
* Ability to work in a fast-paced environment whilst safely managing priorities to meet deadlines
* Proven ability to work independently with minimal supervision
* Strong problem solving and decision making
* Valid Driver's license

Desirable Skills and Experience:

9. Experience using business software such as NetSuite, Smartsheet, and Microsoft Office Suite
10. Prior experience in cost control or budget tracking
11. Understanding of general office procedures and protocols
12. Familiarity with coordinating travel and managing office logistics
13. Understanding of WHS compliance, audits, and reporting requirements
