We are seeking a highly organised and proactive Personal Assistant to support the Director of a multi-business portfolio.
This is a full-time, in-person role based on the Gold Coast.
About the Role
This position is suited to someone who has strong organisation, communication and decision making frameworks, who wants to develop their skills and knowledge in business acquisition, growth & property development.
You will be working with the director helping them maximise their time and output running a growing portfolio of service, construction & property development companies.
Key Responsibilities :
• Assist in managing and maintaining the Directors calendar, appointments and daily schedule
• Coordinate meetings, site visits and travel arrangements
• Inbox management and email responses across several business units
• Prepare documents, process orders and handle general office administration
• Liaise with trades, suppliers, real estate agents, councils, brokers and professional services
• Research & document preparation tasks
• Assist with recruitment (screening resumes, organising interviews, onboarding support)
• Support tasks across the business portfolio
• Optional: basic social media coordination and content organisation
Ideal Candidate:
• Highly organised with strong attention to detail
• Confident communicator who can deal with a wide range of stakeholders
• Proactive, fast-moving and able to anticipate needs
• Strong problem-solving skills and the ability to work independently
• Reliable, consistent and able to follow tasks through to completion
• Previous experience in a PA, administration or coordination role preferred
• Construction or property experience is advantageous
• You have one highly developed skillset in any of following: recruiting, property management, sales (direct or phone), marketing (strategy), social media, compliance, scheduling, business administration, accounting.

Requirements
* Full-time, in-person role (approx. 8 hours per day)
* Internet & software native, meaning you have the capacity to rapidly learn basic software and platforms. You are familiar with basic AI (ChatGpt, Claude) as an enhancer to your own workflows.

Additional:
• For this role you should be comfortable working in a majority male (80%+) environment (by-product of construction).
