The role
* Company Secretary Support: Provide direct administrative assistance to the Company Secretaries, including calendar management, filing, printing/preparing papers for meetings, and coordinating Board/Committee Action items.
* Corporate Governance Team Support: Offer confidential and timely administrative support to the Corporate Governance team, which may involve maintaining company registers, preparing reports, submissions, spreadsheets, flowcharts, presentations, and maintaining annual planners/calendars, schedules, master documents, and tracking tools.
* Meeting Logistics & Publication: Liaise, coordinate, and timely prepare and publish Board and Executive Committee meeting agendas, papers, submissions, presentations, and registers of action items and decisions, under the guidance of the Company Secretaries. This may also include producing and collating hard copy materials as required.
* Information Fulfilment: Fulfil requests for information from the business as it relates to the Group Corporate Governance team, including during internal and external audits.
* Diary & Event Management: Manage diaries, coordinating and organising Board and Executive meetings, functions, and site visits, and screening visitors and enquiries.
* General Administration: Perform other general administration duties as directed.
* Stakeholder Liaison: Liaise between the Group Corporate Governance team, Board, Executives, business units, and service providers to ensure the efficient operation of the Group Corporate Governance team.
* Professional Representation: Present a positive and professional image of the Group Corporate Governance team to all stakeholders, ensuring confidence is maintained and information remains confidential.
* Research & Analysis: Provide timely investigative, research, and analytical assistance, including analysing, developing, and maintaining processes and reporting for business systems, and supporting research on corporate governance subjects, technologies, practices, and procedures.
What experience you'll bring
* Demonstrated competency with administrative tasks and enthusiastic self-starter with the ability to work autonomously, establish priorities and take a proactive approach to problem solving and driving outcomes.
* Excellent attention to detail, organisational and time management skills with a strong capacity to work under pressure, be a logical thinker and multi-task within tight deadlines.
* Strong ability to manage matters of a confidential and sensitive nature.
* Outstanding written, oral and interpersonal communication, including the ability to liaise with and manage internal and external stakeholders.
* The ability to build and maintain relationships with a diverse range of internal and external clients, including the A&G Group's Executives and Board members.
* High level of skill in the use of IT applications including Microsoft Office, Google Suite and Board portals (e.g. Diligent).
