Service Coordinator – Join a Growing Industry Leader in Melbourne


This is an exciting chance to step into a thriving organisation with an impressive client base and a reputation for excellence. Based in Melbourne, this highly respected industry leader is looking for a proactive and dynamic Service Coordinator to become an integral part of their close‑knit team.

What You'll Be Doing

You'll play a key role in keeping the service department running smoothly and efficiently. Your responsibilities will include:

Service & Operational Support


• Assisting the Service Management team with the coordination and delivery of all service calls, ensuring compliance with safety, quality, contractual, and procedural requirements.


• Managing bookings and dispatching technicians, ensuring jobs are scheduled and completed efficiently.


• Supporting the issue and maintenance of company assets and associated documentation.

Administration & Compliance


• Creating job numbers in the financial system, raising invoices and purchase orders, and supporting the projects team with related administrative tasks.


• Providing high‑level administrative support to the Service Manager.


• Preparing and reviewing correspondence, reports, spreadsheets, charts, and other documentation.


• Maintaining accurate data entry and updating internal systems.

Team & Contractor Support


• Assisting with onboarding new contractors and employees, including inductions.


• Coordinating meetings, ensuring documentation and amenities are organised.


• Monitoring stock arrivals and advising managers as required.


• Handling confidential information with professionalism and discretion.


• Taking ownership of allocated tasks, working independently, and meeting deadlines.

What You'll Bring

To thrive in this role, you'll need:


• 2–3 years of solid office administration experience in a fast‑paced environment.


• A genuine desire to grow and take on new challenges.


• Strong MS Office skills and confidence navigating digital systems.


• Exceptional attention to detail, accuracy, and professionalism.


• The ability to multitask, prioritise, and stay calm under pressure.


• A proactive mindset—nothing is too big or too small for you to tackle.


• Excellent presentation and communication skills.
