Who we are
NORSTA Maritime is the Regional Maintenance Provider to the Regional Maintenance Centre North-East, delivering project management capabilities, technical expertise and quality assurance activities for the Department of Defence, including the Royal Australian Navy.
Our advanced maritime sustainment planning coordinates fleet maintenance at scale across Far North Queensland, including Northern Australia and adjacent waters for the Commonwealth of Australia.
Due to demand for our services, we are expanding rapidly and developing further capacity for more vessel platforms.
NOTE: Due to NORSTA Maritime's position as a Department of Defence contractor, we require all employees to be Australian citizens and able to hold a minimum Baseline Security Clearance with the ability to obtain access passes to HMAS Cairns and Cairns-based shipyards.
About you
An experienced and capable administrator, you have an eye for detail and a brain built to filter and interpret multiple high volume data streams into functional jobs and tasks. You are able to provide laser-sharp focus on the tasks at hand, while keeping an ear out for when your support is required. Being a team member is important to you as you are a courteous and helpful person by nature with a high customer focus. You value respectful relationships and are supportive of your colleagues. With an adaptable nature and a growth mindset, you are able to embrace new ways of operating, including learning different portals and maintenance systems. You have high level computer literacy skills including knowledge of Microsoft Office Suite including Excel and SharePoint as well as the ability to use or quickly learn various information data systems and platforms. You have great communication skills, listening carefully to others and responding accurately and appropriately to internal and external stakeholders. About the role
As Project Support Officer, you will support the planning and delivery of the Project Management team to the Department of Defence by tracking, reporting and updating project schedules and documentation as well ensuring timely and accurate progress reports to key stakeholders. The role is a central connection point to the smooth operation of NORSTA's administrative processes, including financial operations, engineering, supply and support services.
Responsibilities (some but not all):
* Assist various teams to coordinate high-volume workflows for NORSTA's project management stage gates. Specifically, the development of work packages for dissemination to Repair Authority during the planning phase, administer critical workflows during the production phase, and timely close out of assurance data within various Defence Maintenance Management Systems (MMS) and PCS Workbook.
* Attend stakeholder meetings to provide a formal account of attendance, discussion, and actions with a focus on meeting minutes for planning, weekly production, close out and lessons learned.
* In consultation with teams, maintain relevant project documentation within the NORSTA and Defence record management systems. In addition, facilitate internal and external stakeholder access to information within the NORSTA and Defence record management systems.
* Support request for information from internal stakeholders for all stages of the project with a focus on providing accurate information to the finance team.
• Routine and timely updates to project registers, trackers, maintenance management system and PCS to ensure project status is accurately reflected for use by internal and external stakeholders.
