Primary purpose of position
The Administration Officer provides comprehensive administrative support to ensure the efficient and effective functioning of the relevant department. This position requires a dynamic individual with excellent organisational skills, attention to detail, and a strong ability to manage multiple tasks concurrently. This position will collaborate closely with department members and external stakeholders to facilitate seamless operations.
Responsibilities
Position specific responsibilities
* Filing, record keeping and document control assistance for the department as required, ensuring appropriate confidentiality and accessibility.
* Organise and manage appointments, meetings, and events for department members and coordinate logistics for meetings and ensure necessary resources are available.
* Provide administrative support for a range of internal committees, including coordinating meetings, drafting agendas, minute-taking and compiling presentations as required and assist in preparing and presentations required.
* Accurately input and maintain data in various systems and databases.
* Actively participate in reviews, audits and inspections as required.
* Coordinate travel arrangements and accommodation as required.
* Prepare and edit documents, correspondence and presentations as needed, including generating reports and extracting data for analysis purposes.
* Assist with preparing the corporate reporting requirements including risk registers, business unit plans, budgets and corporate reports for the Department and associated Business Units.
* Support the maintenance of Port policies and procedures.
* Serve as a primary point of contact for internal and external inquiries, demonstrating professionalism and excellent communication skills.
* Provide general administrative support in general goods and services purchasing, receipting and reconciliation of expenses as required.
* Work collaboratively with department members to achieve common goals and objectives and participate in team meetings and contribute to departmental initiatives, including identifying and contributing to business efficiencies and improvement opportunities.
* Assist in special projects and tasks as assigned by the General Manager.
* Any other duties as directed by the General Manager.
* Contribute to the Port's strategic plans including the Statement of Corporate Intent, Corporate Plan and Port Vision 2050.
* Ensure appropriate health and safety, environmental management, quality and information security practices are implemented for all works to comply with the Port's policies and relevant legislation.
* Comply with all relevant legislation, codes of practice and standards.
* Promote a Zero Harm culture and continual improvement in our Health and Safety management and performance.
Qualifications

Qualifications/tickets/licences
* Current Queensland C class Driver's Licence.
* National police check.
Skills And Experience
* Demonstrated experience in a business administration or support role.
* Strong organisational and coordination skills including ability to manage competing priorities and demands without affecting quality of service delivery.
* Excellent communication skills (both verbal and written) with the ability to build effective working relationships and ability to work in a team environment.
* Ability to handle confidential information with discretion and professionalism.
* Demonstrated problem-solving skills, self-motivation, time management and scheduling skills and a high degree of attention to detail.
Software/Systems Skills
* Advanced skills in Microsoft Office suite.
* Demonstrated experience working with enterprise software systems such as Technology One, Oracle or similar.
