Job Summary & Qualities
The Front Administrator-CSR is the first point of contact for customers and visitors, responsible for creating a welcoming atmosphere that fosters high-level service. This role assists the Appraiser, Production Manager, and Owners with various tasks, requiring excellent communication skills, a cheerful demeanor, and attention to detail.
Accountability & Responsibility of Position
Customer Greeting Process
This includes:
* Initial contact with prospects and customers during working hours.
* Greeting visitors, determining their needs, and utilizing the CARSTAR VAS appraisal sheet.
* Prequalifying customers for the appraisal process, fleet services, or insurance claims.
* Notifying the appraiser of customer needs and introducing them.
* Generating Mitchell ABS Administrative Repair Orders for vehicles being scheduled or left for repairs.
Daily Duties
This includes:
* Ensuring all vendor credits are received and processed weekly.
* Reviewing and verifying parts invoices entered and posted by the Production Manager.
* Printing production meeting reports daily for the next morning's meeting.
* Handling phone traffic in a polite, courteous, and cheerful manner.
* Screening business calls, booking appointments, and updating the Owner's personal calendar.
Cashier Front Reception Area Duties
This includes:
* Invoicing repair orders to customers, fleets, or insurance companies.
* Collecting and recording payments for completed jobs.
* Filing paperwork accurately.
* Disbursing, recording, and displaying customer reply cards upon receipt from CARSTAR corporate.
* Maintaining a tidy work area, including the reception desk and surrounding tables.
Experience/Skill Requirements
This role requires:
* Experience providing customer service in a service or retail environment.
* Functional/Technical knowledge of Microsoft Office Software (Word, Excel, Outlook) at an intermediate level.
* Management system experience with Mitchell - required.
* Collaborative and problem-solving skills, with the ability to work independently without close supervision.
