We make sure Australian exports meet international standards through inspections, audits and certifications. Our work helps expand trade by negotiating technical access for food and other products. We also manage quotas under trade agreements and represent Australia in setting global food standards.

We work with industry and international partners to ensure Australia’s export systems are trusted and efficient. From meat inspection and halal certification to managing digital export systems and tariff quotas, we support smooth trade operations and uphold high standards that keep Australian products moving into key global markets.

This is where you play an important role.
We work in a fast-paced environment supporting Australian exporters to obtain export certification. Our team cultivates a collaborative environment that leverages diverse perspectives to solve problems effectively. We are looking for enthusiastic and hard-working individuals to join our team. The duties of a Senior Administration Officer include, but are not limited to the following:

• Oversee the team’s management of departmental inboxes, phone queries and stakeholder correspondence, ensuring timely, high-quality responses to complex and technical enquiries.
• Communicate complex and technical information clearly to external stakeholders and clients and use insights from stakeholder engagement to identify opportunities for process, policy or system improvement.
• Develop proficiency in export enabling systems to interrogate system data, troubleshoot client issues and drive system enhancement to benefit users.
• Maintain effective working relationships with ICT teams and business areas, including acting as a key contact during systems and software upgrades, and perform user acceptance testing as required.
• Identify key metrics and reporting requirements and develop analytical reports using a range of data sources and tools (including Power BI) to support transparency, performance monitoring and continuous improvement.
• Administration of export system programs and functions including driving and supporting small projects and change initiatives to progress team and departmental priorities.
• Contribute to a supportive team environment by sharing expertise, providing guidance to colleagues where appropriate and assisting with work coordination to build capability and support effective outcomes.
• Contribute to policy development and reform activities including the analysis of existing arrangements, engagement with industry and internal stakeholders and progression of legislative or procedural changes to support implementation.
• Undertake complex research and analysis using multiple data sources to inform administrative processes, reform options and stakeholder advice.

Please note that this recruitment process will initially be used to fill one ongoing vacancy. The merit pool established through this selection process, which is valid for a period of eighteen months from the date the vacancy was advertised in the Public Service Gazette, may also be used to fill future ongoing vacancies in the branch where the duties are of a similar nature.

Who we are looking for
Knowledge and experience
The successful applicants will have:

• demonstrated experience interpreting and applying legislation, policy or procedural frameworks within a regulatory environment or specialist area, including exercising judgement to support defensible decision making
• demonstrated experience contributing to, or leading, policy development or reform activities, including the analysis of existing arrangements, stakeholder engagement and supporting the implementation of procedural or legislative change
• experience contributing to the development of work plans and objectives, including supporting longer-term initiatives through analysis, coordination and practical planning within a team or work area
• a working knowledge of (or the ability to quickly develop knowledge of) one or more of the following:
- legislative frameworks
- export trade
- tariff rate quotas
- regulatory or government decision-making processes
- export legislation and regulations
- animal health or production systems
- food safety and public health.

The successful applicants will demonstrate the following skills and capabilities:

• Strong attention to detail, with a customer-focused approach to supporting exporters and stakeholders.
• Highly developed communication, interpersonal and systems skills, including the ability to work collaboratively and explain complex or technical information clearly.
• Strong collaboration skills, including a demonstrated ability to share expertise, mentor others and provide guidance to build team capabilities.
• Sound problem-solving skills, including the ability to troubleshoot matters of medium to high complexity and provide technical advice where appropriate.
• Strong initiative and analytical skills, including the ability to think laterally, assess system, process or policy issues and identify opportunities for improvement.
• Demonstrated analytical capability to identify relevant metrics and produce reports using multiple data sources and tools (including but not limited to Power BI).
• The ability to work proactively and autonomously while managing competing priorities and delivering quality outcomes.
• The ability to identify emerging issues or risks within an operational environment and contribute to practical change or improvement initiatives.
