This 6-month full-time opportunity is based in Brisbane, with potential occasional travel to Newcastle and Sydney to assist with office management and the opening of the Newcastle office.

Responsibilities
* Project Coordination & Office Fit-Outs: Oversee the end-to-end handover process, act as the on-ground Single Point of Contact (SPOC) for office fit-outs, refurbishments, and relocations, collaborate with the global facilities team, and ensure compliance with Australian building codes and local council regulations during fit-out and refurbishment projects.
* Health, Safety & Compliance: Lead OH&S policy implementation across all Australian offices, conduct routine safety inspections and risk assessments, ensure compliance with Safe Work Australia guidelines, and coordinate safety training and emergency drills with HR and local authorities.
* Vendor & Contract Management: Manage vendor relationships, contract negotiation, SLA adherence, performance reviews, coordinate maintenance and service contracts, and oversee budgeting, procurement, and billing activities; maintain a preferred vendor list and conduct market benchmarking.
* Preventative Maintenance & Emergency Preparedness: Develop and manage preventative maintenance schedules, establish emergency response plans, and ensure regular inspection of critical systems (HVAC, electrical, plumbing).
* Daily Facilities Operations: Oversee day-to-day operations across Australian offices including cleaning, waste management, utilities, stock control, workspace hygiene and presentation standards, and support sustainability initiatives.
* Risk Management & Documentation: Identify and mitigate facilities risks, maintain records of inspections, incidents, maintenance logs, compliance reports, and manage insurance documentation for facilities assets and liabilities.
* Stakeholder Collaboration: Work with internal stakeholders to meet operational and employee experience needs, provide updates to regional and global leadership on facilities performance and issues.
* Reporting & Analytics: Prepare SLA/KPI reports, conduct space utilisation analysis, and use data-driven insights to improve space planning and cost efficiency.
* Global Standards Integration: Ensure alignment with DWF's global Facilities and Health & Safety standards and serve as a local ambassador for ESG and sustainability goals within facilities.
Requirements & Qualifications
Australian OH&S certification and proven experience in a professional services office environment are expected.
* Proven multi-site facilities management experience, preferably in office environments.
* Strong organisational, multitasking, and attention-to-detail skills.
* Self-starter with ability to proactively manage facilities to ensure minimal service downtime.
* Excellent verbal and written communication and stakeholder management abilities.
* Familiarity with building systems, safety protocols, vendor coordination, contracts, and SLA measurements.
* Knowledge of Mechanical, Electrical, and Plumbing (MEP), HVAC, and other technical building systems.
* Understanding of accounting/finance principles and facility budgeting.
* Experience liaising with landlords and handling office leases.
* Hands-on leadership, problem-solving, data gathering, analysis, and reporting.
* Experience with office fit-outs, refurbishments, and handing back/taking of spaces from vendors and landlords.
* Experience with internal and external audits.
Preferred Qualifications
* Certified Facility Manager credential, or equivalent.
* Five years of facilities management experience.
