Are you organised, proactive, and ready to make a real impact in a growing business? We're looking for an Online Business Manager / Virtual Assistant to join our team, supporting our members and operations across Australia.
Key Systems
The role requires strong competency in:
* Microsoft 365 suite (SharePoint, Excel, Forms, OneNote, Planner, Power Automate, Outlook)
* GoDaddy (website management)
* Mailchimp (email newsletters and campaigns)
* LinkedIn (social media marketing and promotion)
* SurveyMonkey (member feedback surveys)
* Copilot for Business (AI productivity tools)
* Canva (basic marketing images within brand style guidelines)
Key Responsibilities Administration Tasks
* Manage event calendars and send reminders, prepare name tags, and coordinate food/logistics for events.
* Promote events through internal communications and social media channels.
* Prepare event run sheets, pre-brief key personnel, and manage event feedback collection.
* Maintain member database, ensuring accuracy and confidentiality.
* Coordinate onboarding and offboarding of members, including activation of membership benefits.
* Manage shared email inbox, assign tasks, and ensure timely responses to member queries.
* Coordinate appointment scheduling and prepare weekly team meeting agendas and summaries.
Sales and Marketing Tasks
* Manage LinkedIn outreach: connect with new contacts, send messages, initiate conversations, and hand off qualified leads.
* Post and schedule social media content according to yearly content plans.
* Follow up on website queries and manage communications professionally.
* Update website content, support SEO initiatives, and maintain member portal.
* Manage monthly member communications via Mailchimp and other internal channels.

* Proactive, takes initiative, and looks for ways to improve processes and member experience.
* Experienced as a virtual assistant or operations support professional, ideally within a small business environment.
* Values efficiency, accountability, and delivering high-quality work.
* Enjoys owning tasks from start to finish and implementing new workflows and systems.
