The Australian Orthopaedic Association is seeking a Registry Project Coordinator to join their Registry Services Team based at SAHMRI in Adelaide.
The opportunity:
Reporting to the Registry Services Executive Manager, the Registry Project Coordinator will have a central role in coordinating and supporting the Core Registry Services.
The role is key for maintaining positive stakeholder relationships, developing project documentation, plans, updates and reports and will undertake variety of complex administrative duties in support of project objectives.
In particular, this role involves a range of project coordination duties, including:
* Coordinating the ongoing maintenance and updates of data collection forms to support accurate and consistent data capture
* Preparing, updating, and maintaining standard operating procedures (SOPs) and supporting documentation in line with project and governance requirements
* Supporting the onboarding of hospital sites, surgeons, and patients, including provision of required documentation and guidance
* Providing day-to-day support to data collection sites, including responding to queries and assisting with training on data collection processes and procedures
* Acting as a point of contact for stakeholder queries related to data collection and registry processes
* Coordinating government data verification and data linkage activities in collaboration with relevant stakeholders
* Facilitating authorised stakeholder access to registry data portals and systems
* Maintaining a schedule of project meetings, including organising logistics, agendas, and minutes as required
* Assisting with monitoring project progress and contributing to project reviews by identifying and reporting risks and issues, and supporting the implementation of agreed mitigation strategies
* Preparing, submitting, and maintaining records for ethics applications, amendments, and reporting requirements across multiple ethics committees and hospital approval processes
* Supporting compliance with ethical and governance requirements by coordinating submissions and documentation as directed
* Assisting with activities that support the recruitment, engagement, and ongoing participation of hospitals and surgeons
* Coordinating assigned project tasks to ensure they are completed in line with agreed standards, timelines, and instructions
* Contributing to reporting on contract deliverables and assisting with submissions within agreed timeframes
* Providing administrative and coordination support to additional small projects as required.
To be successful in this role, applicants will have:
· Degree qualification in a relevant field with extensive relevant experience; or
· Extensive experience and management expertise of complex projects
· An equivalent combination of relevant experience and/or education/training
Additionally, the appointee will have the following knowledge and skills:
1. Experience in or knowledge of the health/hospital system within Australia
Demonstrated high-level project and event management skills with a record of successfully coordinating or supporting projects through to completion in accordance with agreed standards, timeframes and budgets
Highly developed planning and organisational skills, with experience establishing priorities, allocating resources and meeting deadlines
Demonstrated capacity to provide formal and informal leadership for a complex project
Knowledge of and experience in preparing and submitting ethics and local governance applications
Highly developed relationship management skills, including the ability to interact with, and gain cooperation from with a variety of stakeholders
Excellent interpersonal and communication skills, including experience in developing professional documentation and presenting information
Advanced computer literacy with experience in the use of project management software and related application capabilities.
