Junior Property Assistant – Job Description

A Junior Property Assistant provides essential administrative and operational support to the property management team. This entry‐level role is ideal for someone beginning their career in real estate or property management, offering hands‐on experience in tenant relations, office administration, and property operations. Working under the guidance of senior staff, the Junior Property Assistant helps ensure properties are well‐maintained, compliant, and delivering a positive experience for tenants and clients.

Key Responsibilities

Administrative Support

* Assist with day‐to‐day office tasks including filing, data entry, document preparation, and updating internal systems.
* Maintain accurate records of leases, tenant information, maintenance logs, and compliance documents.
* Support the preparation of reports, correspondence, and property‐related documentation.

Tenant & Customer Service

* Respond to basic tenant enquiries via phone, email, or in person, ensuring a friendly and professional experience.
* Log and track maintenance requests, escalating issues to senior staff when required.
* Assist with tenant move‐ins and move‐outs, including preparing welcome packs, scheduling inspections, and updating records.

Property Operations

* Conduct routine property checks under supervision to identify maintenance needs or safety concerns.
* Coordinate with contractors and service providers for minor repairs, inspections, and scheduled maintenance.
* Support the team in preparing properties for leasing, including arranging cleaning, signage, and access.

Lease & Compliance Assistance

* Help prepare lease documents, renewal letters, and notices as directed by the Property Manager.
* Ensure all documentation is filed correctly and complies with company policies and relevant legislation.
* Assist with monitoring key dates such as lease expiries, inspections, and compliance deadlines.

Skills & Attributes

* Strong communication and customer service skills.
* High attention to detail and strong organisational abilities.
* Willingness to learn and take direction from senior team members.
* Basic computer skills, including Microsoft Office and the ability to learn property management software.
* Professional, reliable, and proactive approach to tasks.

Ideal Candidate Profile

* Entry‐level candidate with an interest in real estate or property management.
* Previous administrative or customer service experience is beneficial but not essential.
* Positive attitude, eagerness to grow, and ability to work well in a team environment.

First 6 Months – Foundations

* Learning the company culture, processes & structures
* Understating the basic fundamentals of property management
* Learning to work with a team
* Face-to-face property management training alongside senior managers

Goal: To be able to assist the property managers with daily tasks that assist our clients giving them the best customer experience.
