Established in 1907, the Alliance Française de Brisbane is a not-for-profit organisation that helps businesses and individuals achieve more with French. Centrally located in West End, the Alliance offers French language courses taught by qualified teachers, a French library and e-library, as well as cultural events and social activities.
ABOUT THE ROLE
The Front Office Assistant provides front-line customer service to the general public, members and students, and supports enrolments and general office administration. The role is varied and combines day-to-day administrative tasks with regular face-to-face, phone and email contact.
MAIN DUTIES AND RESPONSIBILITIES
This position will suit an energetic individual with a confident, outgoing manner, who is comfortable multitasking and working in a busy environment.
Key responsibilities include:
* Act as the first point of contact on site, by phone and by email for the general public, members and students, and respond to enquiries in a timely and professional manner.
* Handle incoming and outgoing phone calls and correspondence, contact students and other clients by email and via our CRM system.
* Follow up enquiries and monitor student enrolments and attendance.
* Process memberships, enrolments and re-enrolments in French courses using our CRM.
* Monitor enrolments, products and sales in the CRM.
* Coordinate private tuitions (scheduling, room allocation, communication with teachers and students).
* Assist with the smooth running of classes (room set-up, signage, last-minute changes, basic information for students).
* Manage the library: loans and returns, entering new items into the system, and interacting with library members.
* Manage point-of-sale for books and products, including stocktakes and use of the cash register.
* Provide general administrative support including basic coordination of premises, equipment, stationery and supplies.
