We are seeking a highly organised, people-focused and detail-oriented Administrative Specialist to support Cotti Coffee's rapidly expanding operations across Australia.
This is a hands-on, multi-functional role covering human resources support, administrative coordination and basic finance assistance, ideal for someone who thrives in a fast-paced, high-growth environment.
Cotti Coffee currently operates 27 stores across Australia, with an ambitious plan to expand to 100 stores within the year. This role offers a valuable opportunity to grow alongside a globally recognised coffee brand.

What will you be doing?
Reporting to the Australia Management Team, this role provides end-to-end administrative and human resources support, while also assisting with selected finance-related tasks. You will serve as a key communication link between head office and store operations, playing an important role in supporting daily operations and business expansion.
Human Resources & People Support
* Provide day-to-day HR administrative support
* Assist with recruitment processes, including job postings, interview coordination, onboarding and training arrangements
* Maintain accurate employee records, employment contracts and personnel documentation
* Support employee visa checks, work rights verification and compliance requirements
* Assist with performance management, disciplinary matters and basic grievance processes
* Coordinate training records, compliance tracking and mandatory certifications
* Respond to HR-related enquiries from employees and store management
Administration & Operations Support
* Support head office administrative operations and cross-functional coordination
* Assist with internal documentation, data reporting and process improvements
* Support administrative tasks related to new store openings and business expansion
Payroll & Finance Support
* Assist with payroll preparation, including new starters, terminations and contract changes
* Support basic finance administration such as invoice organisation, expense checking and data entry
* Liaise with the finance team and external partners to ensure accuracy and compliance
What are we looking for?
You are reliable, proactive and able to maintain professionalism in a fast-growing, high-pressure environment. You have a strong eye for detail while valuing teamwork and collaboration.
Essential requirements:
* Bachelor's degree or above (Human Resources, Business Administration, Accounting or related field preferred)
* Fluent in both Mandarin and English, with strong verbal and written communication skills
* Proficient in Microsoft Office, particularly Excel
* At least 1 year of experience in a HR-related role
* Strong attention to detail, confidentiality and sense of responsibility
* Ability to manage multiple tasks and work under pressure
* Strong team spirit and collaborative mindset
* Australian Permanent Residency or Citizenship is required
Desirable experience:
* HR or administrative experience within hospitality, retail or chain-store environments
* Experience supporting multi-site operations or fast-growing businesses
* Passion for the coffee industry with an understanding of the Australian market
