About the Role:
We're looking for a friendly, proactive, and organized Scheduling & Office Assistant to support our team at our Canberra Office. In this role, you will act as the key support to our People Experience Coordinator, helping to manage the daily \"puzzle\" of care scheduling and office operations.
You'll play a vital part in ensuring our clients receive the exceptional care they deserve by assisting with seamless rostering and supporting our people processes. This is a perfect role for someone who is highly organized, loves a fast-paced environment, and wants to make a real impact on people's lives.
* Type: Permanent Part-Time (25 hours per week)
* Hours: 8:00 am – 1:00 pm, Monday to Friday in our Phillip Office

Key Responsibilities
Scheduling Support:
* Roster Coordination: Assist the People Experience Coordinator in matching the right caregiver to each client, supporting continuity of care and a \"WOW\" experience.
* Availability Management: Collect staff availability and ensure our scheduling system is always accurate.
* Gap Filling: Help fill vacant shifts quickly due to last-minute cancellations or sick leave to ensure service continuity.
* Communication: Clearly communicate roster changes to the care team in a timely and professional manner.
People & Office Admin:
* Recruitment Support: Assist with recruitment activities, including conducting initial screenings, booking interviews, and contacting referees.
* Records Management: Maintain and update staff and client records with high attention to detail.
* Leadership Support: Provide general administrative assistance to the Managing Directors and the broader leadership team.
* Office Coordination: Perform general office duties, including managing supplies and ensuring the office runs smoothly.
What You'll Bring
* Experience: Previous experience in scheduling, rostering, or admin (healthcare/NDIS background is highly regarded).
* Attitude: A proactive, can-do mindset with a genuine heart for people.
* Organization: The ability to manage competing priorities and stay calm under pressure.
* Tech-Savvy: Proficiency in G-Suite and a willingness to master workforce management systems.
* Communication: Excellent interpersonal skills—you are a \"customer service fanatic.\"
Requirements
* Current NDIS Worker Screening Check (or willingness to obtain)
* Current ACT Working with Vulnerable People card
* Completion of NDIS Worker Orientation Module
* Valid Australian work rights
