About the role

This position collaborates with academic and professional staff to provide administrative support for the daily operations of the School of Nursing and Midwifery. Responsibilities include student support, staff coordination, scheduling and resource management, while maintaining effective communication within the School and with external stakeholders. The role reports to the School Manager and operates under routine supervision.

Key Responsibilities

* Provide efficient administrative support to the School of Nursing and Midwifery.
* Coordinate meetings, prepare agendas and minutes, and manage correspondence.
* Maintain accurate records, including data entry, spreadsheets, reporting data, and written communications.
* Deliver high-quality customer service by supporting front desk operations and responding to student and staff enquiries via phone, email, and in person.
* Maintain internal databases, registers, and day-to-day administrative processes.
* Assist with reports and data analysis, including enrolment statistics, academic performance, and budgets.
* Support the School Manager and administration team with policy administration, procedures, forms, and purchase orders.
* Prepare and format reports, presentations, academic papers, and departmental communications.
* Liaise with School leaders, university departments, and external stakeholders to support effective collaboration and operations.

Qualifications, skills & experience

* Completion of a Diploma, or Certificate IV with relevant experience, or Certificate III with extensive relevant experience, or an equivalent combination of education and experience.
* Demonstrated administrative experience, preferably in a tertiary or education environment.
* Proficiency in Microsoft Office Suite (Word, Excel, Visio) and familiarity with Adobe, InDesign, and administrative systems.
* Strong written and verbal communication skills with a customer-focused approach and the ability to liaise effectively with diverse stakeholders.
* Well-developed analytical and problem-solving skills, with the ability to anticipate and resolve issues.
* High level of accuracy and attention to detail in data management, documentation, and financial administration, including invoices and purchase orders.
* Ability to manage competing priorities, exercise initiative, and meet deadlines in a dynamic environment.
* Proven ability to work collaboratively in teams and deliver responsive administrative support.
* Demonstrated experience preparing high-quality documentation with strong attention to detail.
