Description

We are seeking a highly organised and proactive Ancillary Services Administration Officer to provide essential administrative and operational support to our Maintenance Team within our aged care facility.

This is a pivotal role that sits at the heart of our maintenance and ancillary services operations. You will be the person who ensures maintenance requests are processed, contractors are coordinated, compliance records are up to date, and systems run efficiently – all contributing to a safe, clean and well‐maintained environment for our residents, staff and visitors.

It is a part‐time role working 60 hours per fortnight, Monday to Friday with flexible start times between 8 and 9 am and finish between 2.30 pm to 3.30 pm (6 hours per day).

What You'll Be Doing
* Managing maintenance requests and work orders.
* Coordinating preventative maintenance schedules and follow‐ups.
* Liaising with contractors, suppliers and procurement.
* Raising purchase orders, receipting invoices and reconciling credit card purchases.
* Supporting compliance requirements including SDS, SWMS and asset records.
* Monitoring the maintenance inbox and coordinating communication across teams.
* Supporting waste management and environmental practices.
* Providing excellent customer service to staff, residents, families and contractors.
What You Need to Be Successful in This Role
* Highly organised with exceptional attention to detail.
* Confident managing competing priorities.
* A strong communicator with a professional and respectful approach.
* Comfortable working with systems and learning new software.
* Experienced in administration, ideally within maintenance, facilities or a similar environment.
* Calm, reliable and able to work both independently and as part of a team.
Skills and Experience
* Certificate III in Administration (or equivalent experience).
* Experience in an administrative or facilities/maintenance support role.
* Experience with maintenance or asset systems (Mex highly regarded).
* Financial accuracy with invoices and reconciliation.
* Understanding of compliance and documentation requirements.
* A current Police Clearance (less than 6 months).
* It is recommended that you will have 2 COVID vaccinations and an up‐to‐date Flu vaccination.
