Our team

Space Division delivers operational space-based capabilities for government, business, researchers and the community to enable a prosperous economy, sustainable environment and resilient society, including:

* providing the data, services, tools and expertise for a better understanding of our changing planet and to leverage innovative technologies across all industry sectors.
* making positioning and Earth observation data open and accessible for all Australians, including government, industry, research community and the public.
* leading national and international partnerships, networks and expertise on behalf of the Australian Government.

Positioning Australia Branch

The Positioning Australia Branch provides the fundamental geodetic services across Australia and its region through the National Positioning Infrastructure Capability and Global Navigation Satellite System (GNSS) analysis capabilities, The Branch also contains the Program Management Office function across the Positioning program, including stakeholder engagement to drive uptake of positioning services by industry, researchers and the public.

Southern Positioning Augmentation Network (SouthPAN Branch)

The SouthPAN Branch is responsible for the design, development and delivery of the Southern Positioning Augmentation Network’s capability. This includes managing the complex commercial arrangements, delivering on the significant capability requirements supporting end user engagement and system performance monitoring.

The role

We are looking for a proactive, enthusiastic and professional Executive Assistant to provide high-level administrative support to the Branch Heads of the Positioning Australia Branch and SouthPAN Branch.

The APS4 Executive Assistant is accountable under limited direction to perform and achieve moderately complex high-level administrative support work. They will be accountable for organising their workflow, making decisions within their defined parameters relating to area of responsibility and will seek guidance when required and must clearly understand the goals, values and needs of both the branches.

They will provide high-level administrative support to the Branch Heads and Senior Executive Team that is informed and directed by their knowledge of the administration function. They may be required to undertake some research, analysis and secretariat support activities.

The APS4 Executive Assistant will be required to share information, monitor work practices, set work priorities, follow, and develop local procedures and contribute and support the Divisional administrative support team and procedures.

The APS4 Executive Assistant may be required to communicate with, respond and provide advice to a range of stakeholders on moderately complex operational and administrative issues to achieve Branch and Geoscience Australia outcomes. They will be accountable to contribute towards ongoing self-improvement and professional development.

To be successful in the role you will:

* have exceptional organisational and communication skills, and an engaging and professional presence with the ability to establish and maintain key partnerships and successful working relationships with a range of stakeholders. You will engage directly with various internal and external stakeholders, government colleagues and officials.
* have sound decision-making and judgement skills and will be accountable to set and manage work priorities, provide clear and consistent communication, manage workflows, tasks and resources, whilst working in a busy environment.
* have strong coordination skills, including the ability to meet deadlines, follow and contribute to procedures and provide highly effective, timely, and efficient executive support to the Branch Head and Senior Executive Team and Divisional support team as needed.
* be required to identify, anticipate and respond to stakeholders’ needs and expectations and to have, or the ability to develop, a good understanding of relevant legislative frameworks and government decision-making.

In particular your duties will include:

* front-of-office duties, such as welcoming and escorting visitors, handling incoming emails, phone calls and correspondence, and directing enquiries
* diary management including scheduling meetings, forward planning, and management of meeting conflicts
* providing daily tracking on priority meetings, emails and actions, including tracking follow-ups on action items to ensure deadlines are met and escalating urgent matters/tasks for attention and response
* coordinating meetings and events (on site or virtual), including preparing electronic and hard copy papers and setting up meeting rooms
* managing and booking travel arrangements and itineraries, assisting with budget management, credit card acquittals, and handling less complex procurement and financial management tasks
* communicating with business partners and clients
* supporting teams across the respective branches with administrative tasks.
