About the Role
The Administrative Support Assistant's primary responsibility is to provide comprehensive, onsite administrative assistance to the Managing Director at Creative IT. This includes managing day‐to‐day administrative activities, maintaining accurate documentation and records, and coordinating the Managing Director's schedule, meetings, and correspondence. You will also support the Operations Manager as required—particularly around invoicing and purchasing workflows, meeting support (where needed), and inventory tracking—while remaining flexible as priorities shift across the leadership team.

What you'll be doing (Key Result Areas) Executive Support (Primary Function)
* Manage the Managing Director's inbox to ensure emails/actions are routed to the correct contact.
* Prioritise communications and elevate important items when needed.
* Support calendar and scheduling coordination for the Managing Director (competing priorities, moving parts).
* Coordinate internal/external appointments and ensure preparation materials are ready.
* Communicate schedule changes promptly and accurately.
Office Management (Secondary Function)
* Maintain a clean, organised and professional office environment (meeting spaces and shared areas).
* Manage general office administration: mail/couriers, supplies, printing/scanning, filing and registers.
* Provide front‐of‐house support as required (phone/reception, visitor coordination, general enquiries).
* Maintain office procedures/checklists and raise queries when needed.
Invoicing Support (Core Capability)
* Support invoicing processes: preparing, checking, and submitting information in line with internal procedures.
* Assist with rejected invoices: investigate, correct, and resubmit with supporting documentation.
* Track invoice status, follow up items, and maintain accurate records for review/audit.
Documentation Control
* Maintain controlled documentation (templates, registers, policies/procedures as directed).
* Support version control and ensure documentation is reviewed on time by owners.
* File/archive/retrieve documents efficiently and support internal admin process documentation.
Inventory Management
* Track deliveries/incoming goods, record receipt, and store items appropriately.
* Coordinate outgoing shipments/dispatch and maintain accurate logs.
* Maintain inventory records and liaise with vendors/staff to resolve discrepancies.
What you'll bring (skills & experience)
* Experience in an administrative support role supporting multiple stakeholders and managing competing priorities.
* Strong Microsoft 365 skills (Outlook, Word, Excel, Teams).
* Experience supporting invoicing administration and end‐to‐end purchasing workflows.
* Experience preparing/maintaining registers, records and controlled documentation.
* Desirable: inventory tracking/receiving/dispatch experience.
* Desirable: exposure to financial systems.
