About the Project: Jansz-Io field (part of Greater Gorgon Development) is located 130 kilometers off the west coast of Barrow Island, Western Australia. The field is connected to a gas processing facility on Barrow Island by subsea and cross island pipelines and umbilicals. The field is located at 1,350m water depth.

The Jansz-Io project offshore development consists of installation of a subsea compression facility powered by a high voltage submarine cable which runs from Barrow Island to a floating field control platform. Medium voltage power umbilicals connect the floating control platform to a subsea compression station. The subsea compression station receives produced gas from the existing Janz subsea system via subsea spools and a subsea compression manifold. The compressed gas is discharged back into the existing pipeline for transfer to Barrow Island.

Saipem Australia has been awarded the Offshore Installation Contract by Chevron Australia for the transportation and installation activities of the Jansz Io development.

Purpose of the position: As a Contracts Administrator you will be part of the Jansz-IO project reporting to the Contracts Manager

How can you support us?

* Contract Execution & Administration
* Support the Contract Manager in the preparation and submission of all project documentation
* Interpret contract terms and requirements and ensure that all project team members understand their obligations
* Manage contract documentation, preparation and submission of change orders, variations, extension of time and formal notices
* Monitor contractor performance against contractual requirements
* Ensure compliance with legal, regulatory and organizational standards
* Support procurement team during procurement process, provide contractual requirements based on approved contracting principles and mandatory flow down provisions from the main contract that are aligned with project objectives
* Assist during contractual clarifications, discussions and negotiations with subcontractor/supplier/vendor to finalise award
* Assist cross functional department for any contractual issues and expedite resolution, provide also status of all critical contractual issues that are pending resolution
* Advise project team on contractual milestones and key milestone dates
* Monitor and update contract management registers for all project related documentation (i.e. Contract Change Order, Approved Work Estimate, Contractor Work Estimate, Request for Work Estimate, Instruction to Proceed, Instruction to Contractor, Request for Information and Potential Change Order and/or Notice of Change issued to Company)
* Prepare cost estimates and contractual justifications for all changes to scopes, additional works and request for extension of time in accordance with the Main Contract
* Coordinate and interface with cross functional department to collect the required supporting documentation to develop work estimates and review / evaluate the documents suitability
* Assist the project control team in the preparation of monthly progress claims and required supporting documents as evidence. Tracks cost performance against budgets, forecasting final contract value and identifying commercial risks
* Ensure project contract price is regularly updated based on approved contract change orders and price schedule is fully updated based on various compensation regimes (i.e. LS, Time Rate, Reimbursable, etc)
* Ensure timely and accurate financial reporting to project management team and corporate contract management
* Support dispute resolution and claims management

Communications & Stakeholder Coordination

* Assist in preparing and drafting formal correspondences, notice of changes, meeting minutes and contractual notices to client
* Work closely with cross functional department to collect the required inputs, technical data and other supporting materials that help to substantiate the contractual position
* Provide input in the preparation of weekly and monthly reports, attend regular weekly coordination meetings with client and project team
* Coordinate contract-related meetings, discussions, negotiations and ensure follow-up actions are completed

Risk and Compliance Oversight

* Identify contractual risks and advising the project team
* Ensure insurances, bonds, warranties and guarantees are in place and current
* Ensure safety, quality and environmental obligations are continually meet
* Maintain audit ready project records and documentation

Contract Closeout

* Ensure all deliverables, defects and obligations are completed
* Manage claims, final invoices and closing financial matters
* Archive project documentations and prepare close-out reports
* Ensure that warranties, manuals and handover documentations are submitted and received by the client as per deadline requirements

What are we looking for?

* Bachelor's degree in Law, Commerce or Construction Management, with circa 5-10 years relevant experience in a commercial and contract management role within project/construction industry, ideally Oil and Gas
* Experience in Main Contract / Subcontract management and administration / quantity surveying
* Experience in cost forecasting and reporting; claims management and claims valuation
* Experience in managing projects having multiple compensation mechanisms (i.e. Lump sum, Time Rates, Reimbursable Costs, etc.)
