About the office

The Student Wellbeing Office operates within the portfolio of the Associate Deputy Vice Chancellor (Academic and Registrar), alongside Student Success, Student Life, Student Administration, Libraries, and the broader Student Life and Wellbeing teams.

About the role

Th e Administration Officer reports to the National Manager Student Wellbeing and is required to work in collaboration with academic and professional colleagues to provide effective and efficient front line administrative support for all areas of Student Wellbeing.


Key Responsibilities

* Provide administrative support to services such as Counselling, Access and Inclusion,, Student Grievances, and the Student Hardship Assistance Fund.
* Act as the first point of contact for students and staff, helping with enquiries and making referrals to the right support services.
* Schedule appointments, coordinate meetings and events, take minutes, and manage emails and other correspondence.
* Maintain and update office records, databases, and registers.
* Support students by promptly triaging enquiries and ensuring they are referred to appropriate services .
* Assist with updating policies, procedures, forms, and help with projects and events as needed.
* Provide administrative support to the national Student Wellbeing team.
* Communicate clearly with internal and external stakeholders and follow university policies.


Qualifications, skills & experience

* Completion of a diploma level qualification, or an equivalent combination of relevant experience and/or education/training.
* Demonstrated administrative experience, preferably in tertiary or other education sectors.
* Mental Health first aid trained, or equivalent, with the ability to work alongside clinicians to support students in distress.
* Developed interpersonal and communication skills (written and verbal) including the ability to work productively and cooperatively within a multidisciplinary team and with a broad range of internal and external stakeholders.
* Assist in delivering high quality documentation with excellent accuracy and attention to detail.
* Capacity to coordinate office administration systems and competency in various software packages including the Microsoft Office Suite to contribute to the effective operation of team objectives.
* Supportive of the Objects of Notre Dame as a Catholic University.
