ABOUT NAAFLS
NAAFLS is an Aboriginal Community Controlled Organisation (ACCO) and independent Family Violence Prevention Legal Service (FVPLS).
We are the only victim-based Aboriginal legal service in remote communities in the Top End region of the NT.
We have offices in Darwin (Larrakia land), Katherine (Jawoyn, Dagoman and Wardaman land) and Nhulunbuy (Yolŋu land), and service over 40 remote communities within the Top End region spanning from the Tiwi Islands down to Lajamanu, Wadeye across to Borroloola. We provide culturally sensitive legal advice, assistance, representation, and support to Aboriginal and Torres Strait Islander people in Top End communities who have experienced domestic, family, and sexual violence.
We offer a holistic and culturally appropriate model of service which sets us apart, seeking practical community-based solutions to the most complex legal problems.
Our primary practice areas are family law, child protection, and domestic violence; though we frequently intervene in coronial inquiries, parliamentary inquiries, and other administrative or criminal proceedings as required.
POSITION OVERVIEW
The Administration Manager is responsible for overseeing and supporting the administrative operations across the organisation. This role provides direct line management to administrative staff, based in Darwin and Katherine, and plays a central role in maintaining the organisation's high standard of service delivery.
Reporting to the Operations Manager, this role provides day-to-day support, guidance, and mentoring to the Administration Team to ensure that administrative processes are efficient, compliant, and aligned with the operational needs of NAAFLS' legal and support programs. The position plays a key role in maintaining consistent data management practices across office locations to enable streamlined service delivery, supporting staff development, and delivering high-quality administrative services, while fostering a culture of collaboration and continuous improvement.
The Administration Manager also contributes to the organisation's commitment to delivering culturally appropriate services by ensuring that administrative practices are respectful, inclusive, and responsive to the needs of Aboriginal and Torres Strait Islander clients.
KEY RESPONSIBILITES
* Mentor and support administration staff to foster a capable, collaborative team.
* Conduct probationary, annual, and biannual performance reviews.
* Develop individualised staff training and development plans.
* Identify and manage training requirements for consistent information handling and data recording.
* Undertake professional development in consultation with the Operations Manager.
2. Recruitment & Onboarding
* Support recruitment, induction, certification compliance, and orientation processes in collaboration with HR.
* Ensure new staff are trained and aligned with organisational values and procedures.
3. Client Management & Service
* Ensure accurate collection, entry, and storage of client data in Actionstep.
* Deliver high-quality client service while maintaining confidentiality.
* Act as a friendly first point of contact for clients.
4. Administrative Operations & Support
* Provide hands‐on administrative support in a flexible, team‐based environment.
* Facilitate effective communication across teams to ensure smooth operations.
* Support Travel and Logistics functions as required.
* Oversee management, maintenance, and usage of fleet vehicles and organisational assets.
* Troubleshoot ICT issues, including hardware, software, and network problems.
* Assist with grant applications and organisational subscriptions.
* Recommend process improvements across IT, communications, and administrative procedures.
* Track and report on departmental budgets, expenses, and resource allocations.
* Prepare reports for management, audits, and program evaluation.

* Participate in staff and team meetings; take meeting minutes as required.
* Model, build, and maintain a positive working relationships with internal and external stakeholders.

* Demonstrated administration skills, supported by recent and relevant experience.
* Proven ability to effectively lead and manage a small team, providing clear direction, guidance and ongoing support.
* Experience mentoring team members and supporting their professional development through planning, feedback, and identifying learning opportunities.
* Excellent written, verbal, and interpersonal communication skills.
* Strong organisational, time management, and problem‐solving abilities.

* Willingness and ability to undertake travel when required.
* Must obtain a Working with Children Clearance (WWCC) and a satisfactory Criminal History Check.
* Possess a current 'C' Class NT Driver Licence.
* Experience using client data system (Actionstep experience desirable but not essential).
* Understanding of trauma‐informed and strengths‐based practice within a community service setting.
