As our clinic continues to grow, we are seeking an experienced and proactive Office Manager to support the day‑to‑day operations of the practice while also providing hands‑on reception support and shift cover as required.
The Role
This is a part‑time Office Manager position, four days per week (Monday, Tuesday, Thursday and Friday, 8:30am–5:00pm) totalling 32 hours.
The role is currently based at our Woodend clinic and will support the practice as it progresses toward a multi‑site model. Flexibility, strong organisational skills, and the ability to adapt to evolving workflows will be essential.
While this is an operations and team‑focused role, it is also hands‑on and includes:
* Reception duties
* Providing shift cover during staff leave or busy periods
* Supporting front‑of‑house operations to ensure smooth clinic function
* Reporting to: The Practice Manager
Key Responsibilities
Office Management & Operations:
* Overseeing day‑to‑day clinic operations
* Supporting rostering, leave coordination, and shift coverage
* Ensuring efficient administrative workflows, systems, and processes
* Liaising with clinicians, nursing staff, and reception teams
* Supporting compliance, policies, and procedural consistency
* Assisting with invoicing, billing processes, and reporting
* Acting as a key point of contact for operational enquiries
* Identifying opportunities to improve administrative systems and workflows
* Supporting the implementation of new processes and clinic initiatives
Reception & Front Desk Support:
* Greeting patients with warmth and professionalism
* Managing phone enquiries and appointment scheduling
* Coordinating procedure and treatment bookings
* Processing payments, invoicing, receipting, and quoting
* Providing shift cover at reception when required
* Supporting patient flow and overall patient experience
* Providing day‑to‑day guidance and support to reception staff
* Supporting onboarding and training of administrative team members
Key Selection Criteria
Previous experience in a leadership role—such as Office Manager, Practice Manager, or Senior Administration position—is essential. Experience in medical or allied health settings is strongly preferred.

Experience in medical reception or healthcare administration is highly regarded but not essential. Comprehensive training and support will be provided. This role requires on‑site attendance. Standard clinic hours are Monday to Friday, 8:30am–5:00pm.
