In this pivotal support role, you'll help deliver tailored financial strategies by managing documentation, coordinating account processes, and liaising with platform providers. Key Responsibilities Advice Implementation Accurately prepare and lodge all documentation to implement advice (SoAs), including applications, rollovers, redemptions, and transfers, ensuring timely submission. Workflow Management Oversee the end-to-end implementation process, coordinating with platforms and internal teams to ensure smooth and prompt client onboarding. Asset Transfer Coordination Manage asset transfers by liaising with product providers to minimise delays and ensure precise execution. Adviser Communication Keep advisers and associate advisers updated on application status, implementation progress, and outstanding items. Client Platform Support Set up and maintain client access to Xplan Touch, ensuring seamless functionality and user alignment. Portfolio Reporting Assist in preparing quarterly investment reports, ensuring accuracy and timely delivery. System Expertise Maintain strong working knowledge of Xplan and key platforms (e.g., Macquarie, Panorama) to support daily operations. Administrative Support Provide general admin assistance, including document handling, record-keeping, and compliance with internal standards. Compliance & Quality Assurance Adhere to Minchin Moore policies and behavioural standards, ensuring quality, accuracy, and regulatory compliance. Operational Liaison Keep the Operations Manager informed of workflow progress, priorities, and any issues affecting adviser service expectations. What You Bring: Minimum 3 years’ experience in a similar role within financial services. Bachelor’s degree in business (Financial Planning) or related field. Familiarity with Panorama and Macquarie platforms, and experience with Xplan (preferred). Highly organised, with excellent attention to detail and the ability to manage competing priorities. Strong communication skills and the confidence to work closely with advisers and stakeholders. A fast learner with a flexible, proactive mindset.
