Be the backbone of the team-your work makes a real impact every day The Position In the role of Executive Assistant your key responsibilities will include: Prepare and send listing letters, agency agreements, and request contracts Prepare and issue sales advices to solicitors and process exchanges, including sending exchange letters Create and maintain hard copy folders and update server records Manage all aspects of compliance for listings and sales Prepare marketing schedules and get listings live across all property portals Design and produce marketing materials, including brochures, signboards, DL cards and "Just Listed" / "Sold" letters using Canva; manage orders and signboard removals Attend open inspections and assist at auctions, including preparing auction boxes Prepare CMAs for appraisals and liaise with clients during property valuation processes Organise keys for settlement and coordinate with solicitors and agents Handle daily communication with buyers, vendors, and solicitors Schedule meetings, book appointments, and manage boardroom availability Issue invoices to vendors and update listings, including adding all open inspections on AgentBox Obtain council and water rates The Person The ideal candidate for the role of Executive Assistant will have: Previous real estate experience, ideally in a sales admin/marketing and/or Executive Assistant/Personal Assistant role supporting an Agent Current NSW Certificate of Registration or Real Estate Licence Must be highly organised with meticulous attention to detail Immaculate personal presentation is a must Valid driver's licence and reliable vehicle Strong administrative skills with great time management Ability to work autonomously and is an excellent multi-tasker Great customer focussed attitude Ability to build rapport and have outstanding communication skills Apply in Strict Confidence Submit your CV by hitting APPLY NOW or contact: Bianca Piras Email: bianca@p3recruitment.com.au Mobile: 0434 376 835 For a quicker response, please text or call.
