Context Statement
The Finance and Logistics Officer supports the financial processing, procurement coordination and logistical operations of Homeland School Company Limited (HSC), a Bininj‐governed, community‐controlled organisation establishing and operating independent homeland schools in West Arnhem Land.
Based in Darwin and working closely with the Chief Financial Officer (CFO) and Chief Executive Officer (CEO), the role provides essential administrative and operational support to remote homeland school sites. This includes processing payroll, supplier payments and financial transactions; maintaining payroll system integrity; verifying expenses and invoices; ensuring accurate GST coding; and responding to payroll queries.
The role also coordinates procurement, travel and freight logistics to ensure supplies, equipment and infrastructure materials reach remote sites reliably and efficiently, supporting the smooth operation of homeland schools.
Key Duties and Responsibilities
* Payroll and Financial Processing
o Prepare payroll reports
o Reconciling salary packaging and payroll accounts
o Monitor staff annual leave entitlements and assist with end‐of‐year leave loading calculations
o Process annual pay increases and assist with staff payroll correspondence
o Process daily bank feeds in MYOB
o Reconcile company debit card(s) (monthly)
o Process reimbursements as required
o Check the account email for supplier invoices and financial correspondence daily
* Accounts Payable and Financial Administration
o Receive, review and process invoices, purchase orders and expense reports (weekly or fortnightly)
o Prepare and process payments, including staff reimbursements
o Conduct supplier reconciliations, issue remittance advices and resolve payment discrepancies
o Maintain accurate records of accounts payable transactions and monitor outstanding balances
o Maintain journals, payroll and income registers
o Maintain monthly finance checklists
* Financial Governance and Compliance
o Assist with bank reconciliations and other monthly financial reconciliations
o Assist with grant expenditure tracking and acquittal documentation
o Ensure procurement processes align with HSC financial delegations and policies
o Support compliance with ACNC, taxation and NT non‐government school requirements
o Assist the CFO with maintaining financial records required for reporting and compliance
* Procurement and Logistics Coordination
o Coordinate ordering and delivery of supplies, equipment and materials to remote homeland school sites
o Manage freight bookings and track shipments to ensure timely delivery to remote communities
o liaise with suppliers regarding quotes, invoices and delivery schedules
o Maintain procurement registers and assist with tracking expenditure against approved budgets
o Maintain supplier contact lists and service arrangements
* Travel and Remote Operations Support
o Coordinate remote travel for staff and operations, including flights, accommodation and charter arrangements
o Assist with logistics coordination between Darwin and homeland school sites
o Support the coordination of infrastructure materials and operational supplies required for remote school sites
o Assist with scheduling contractors, maintenance services and operational support where required
* Infrastructure and Operational Support
o Maintain records of maintenance requests and service schedules where relevant to operational logistics
o Assist with tracking capital purchases, equipment and infrastructure‐related expenditure
o Assist in maintaining asset and equipment registers where required
* Other General Duties from Time to Time
o Submit monthly superannuation and IAS
o Assist with end‐of‐month BAS checks
o Assist with audits and preparation of supporting documentation
o Attend and support Board meetings as required
o Undertake other duties as directed by the CFO or CEO consistent with the scope of the role
Selection Criteria
* Experience working with Aboriginal organisations or communities
* Demonstrated experience in payroll processing and accounts administration, including accounts payable, reconciliations and financial record keeping
* Experience using accounting software (preferably MYOB) and Microsoft Office applications, particularly Excel
* Experience managing financial documentation and maintaining accurate administrative and electronic filing systems
* Experience coordinating procurement, purchasing and supplier payments, including reviewing invoices and resolving payment discrepancies
* Experience supporting financial compliance processes, such as BAS, IAS, superannuation reporting, audits or grant reporting
* Experience coordinating travel, freight or logistical arrangements, preferably in regional or remote contexts
* Demonstrated ability to manage multiple administrative tasks, meet deadlines and maintain attention to detail in a busy operational environment
* Strong organisational and communication skills, with the ability to liaise professionally with suppliers, staff and external stakeholders
* Demonstrated ability to work independently while supporting senior leadership and finance teams
* Current NT Driver's Licence
* Willingness to travel to remote homeland communities when required
