Your Role:
As the Operations and System administrator, you will provide administrative support to the Operations team for Senior Helpers and NDIS business streams.
In particular, the Care Management System (Visual Care) is maintained under the direction of the Support Service Manager. The service coordinators are supported with a wide range of administrative functions, and the provision of efficient administrative processes and support contributes to clients' well-being.
What You’ll Be Doing:
1. Provide wide-ranging administrative support to the service co-ordinators and Support Service Manager as required
2. Scheduling of meetings, house meetings, and team meetings
3. Monitoring of calendars and due dates in the Care Management System
4. Support the operations team in scheduling client appointments
5. Monitoring of alerts within the Care Management System
6. Support the operations team with incident management triage
7. Support the operations team with the monitoring of compliance client notes and documentation
8. Support the operations team with intake documentation
9. Support the operations team with service agreement preparation
10. Support the operations team in obtaining consent and signatures
11. Support the operations team with inquiries regarding pharmacy matters and the Medication Management system
12. Support the Quality co-ordinator in preparation of clinical indicators, trends, and exception reporting from the Care Management System
13. Support Senior Helpers with reports from the Care Management system for compliance audits
14. Support Senior Helpers with initial intake interviews, risk assessments, and intake documentation
15. Support the operations team and the social media officer with the follow-up of new enquiries and review of the Visual Care CRM
16. Work collaboratively with the team in promotional events and activities and organizing collateral
17. Support the co-ordinators with scheduling of regular stakeholder meetings
18. Support the quality co-ordinator with documentation for mandatory and specialized training
19. Provide system support for Visual Care, including password reset inquiries, VWorker app inquiries and triage of Visual Care support
20. Liaise with Visual Care on upgrades, improvements, form preparation and reporting
21. Collaborate with the broader administration team in office activities and functions.
22. Support the Co-ordinators with House audits and inspections as required
About You:
* Working with Children Card (Blue Card)
* Yellow Card/National Worker Screen
* Criminal History Check
* Demonstrated experience in a senior administrative role
* Excellent communication skills, with the ability to engage effectively with stakeholders and facilitate positive outcomes
* Ability to work collaboratively in a dynamic environment
* Experience in working in care management systems, an advantage
