As we move into an exciting phase of growth for our events business, we are seeking a highly organised and passionate Functions & Events Coordinator with a strong focus on weddings.
About the Role
The Functions & Events Coordinator will be responsible for managing the full lifecycle of events—particularly weddings—from enquiry to execution. This includes client relationships, venue showings, event proposals, run sheets, supplier liaison, internal coordination with FOH/BOH teams, and onsite hosting on event days.
This role requires exceptional communication skills, precision in planning, creativity in problem-solving and a genuine love for delivering memorable wedding experiences.
Key Responsibilities
* Handle all incoming wedding and event enquiries with professionalism and warmth
* Conduct venue inspections and client meetings
* Prepare tailored proposals, quotes and event outlines
* Oversee wedding planning timelines, briefing documents and run sheets
* Liaise with couples, families, suppliers and vendors (e.g. florists, stylists, photographers, celebrants, AV)
* Coordinate internal teams including FOH, kitchen, rostering and management
* Ensure all dietary, seating, timing and service expectations are communicated and met
* Manage pre-event administration including deposits, contracts, and invoicing
* Host and coordinate weddings & functions onsite, including briefings and bump-ins
* Maintain strong relationships with preferred suppliers and contribute to venue partnerships
* Support marketing & content initiatives for wedding leads and showcases
About You
You are passionate about weddings and events, thrive under pressure and take pride in delivering an exceptional guest experience. You enjoy creating calm, structured environments for clients while maintaining strong operational awareness behind the scenes.
Required Skills & Attributes
* Previous experience in weddings, events, functions or hospitality coordination
* Excellent client communication and interpersonal skills
* Strong organisational and administrative capability
* High attention to detail and time management
* Confident leading event briefings and onsite operations
* Ability to work weekends and evenings as required for events
* Proficiency in Microsoft Office, & Functions Tracker (or willingness to learn)
Desirable (Not Essential)
* Experience working in a wedding-focused venue or hotel events environment
* Knowledge of Sunshine Coast wedding suppliers and trends
* Experience producing run sheets, floor plans, and event logistics
* RSA certification
