Primary objective
Provide efficient and effective accounting services to the department's divisions. Services include the timely and accurate processing and
administration of accounts payable invoices (including purchase order processing), accounts receivable invoice requisitions, travel
requisitions, corporate credit cards, maintenance of system access, and monthly reporting and accruals preparation.
Key duties and responsibilities
1. Distribution and processing of accounts payable invoices using NTG Pay, including reporting to agency staff to encourage compliance
with the 20-day payment policy.
2. Creation and maintenance of purchase orders for the processing of accounts payable invoices in line with best practice approaches,
and reporting of purchase orders statuses to divisions.
1. Preparation of monthly accruals for whole of agency charges, including utilities and IT charges, and assistance with month end ledger
close processes.
4. Maintain agency corporate credit cards, including progressing new applications, changes in limits, cancellations, and system
information, as well as reporting to agency staff on outstanding transaction submissions.
5. Review and processing of travel allowance claims in the travel requisition system (TRIPS) and assistance with the use of the online
travel booking tool.
6. Maintain accounting services systems access (including updating delegates) and system attributes (including reporting lines and
relationships).
7. Assist with collating information for internal reporting, estimates reporting, and audits.
8. Provide support to agency staff across all relevant systems and processes.
9. Provide support to the wider Financial Services team and the Chief Financial Officer as required.
Selection criteria
Essential
1. Experience in providing efficient customer service with clear and effective communication skills and the ability to develop and maintain
positive relationships with team members, agency staff, other departments, and external suppliers.
2. Good organisational skills, the ability to follow both written and verbal instructions, and the ability to prioritise workload and complete
a number of tasks concurrently while maintaining accuracy and attention to detail.
3. Experience in the use of financial systems, including those for the management of accounts receivables, accounts payable, credit cards,
and travel, as well as Microsoft Excel, or the ability to quickly acquire the level of skills required.
4. Considerable personal motivation and initiative with a demonstrated ability to work both within a team and independently, as well as
the ability to ask questions and seek guidance from colleagues and supervisor.
1. Working knowledge of financial management and procurement frameworks, current financial management cycles, and financial
procedures within the Northern Territory or the ability to quickly acquire.
Desirable
1. An understanding of departmental function and organisational structure.
