Job Summary: We're looking for a proactive and detail-oriented Associate Producer to support the delivery of high-quality experiential projects. This role is ideal for someone who thrives in a fast-paced environment, enjoys balancing multiple priorities, and is eager to take ownership of smaller projects while contributing to larger-scale productions.
You'll play a key role in supporting end-to-end project delivery—from planning and administration through to on-site execution—working closely with internal teams and external partners to ensure projects are delivered on time, on budget, and to the highest standard. With a strong focus on organisation, communication, and collaboration, you'll help bring ideas to life while maintaining operational excellence across every stage of the process.
Key Responsibilities
Project & Production Support
* Support the project lead in managing end-to-end project delivery, including planning, execution, and reconciliation.
* Take ownership of smaller projects, ensuring timelines, budgets, and deliverables are met.
* Assist in developing project plans, schedules, and workflows to ensure efficient delivery.
Project Administration & Coordination
* Deliver accurate and timely project administration, including reporting, timelines, task management, purchase orders, vendor setup, and budget reconciliation.
* Support venue sourcing and research aligned to client and project needs.
* Maintain internal systems, documentation, and compliance with processes and procedures.
On-Site Delivery & Logistics
* Coordinate and manage on-site logistics, including suppliers, vendors, and couriers in line with project requirements and run sheets.
* Support the seamless execution of live, hybrid, and digital experiences.
Client & Stakeholder Collaboration
* Contribute to the management of client relationships through clear, timely, and professional communication.
* Support the preparation of presentations, meetings, and project updates.
* Collaborate with cross-functional teams including creative, strategy, content, digital, and integrated production to ensure alignment and delivery excellence.
* Build and maintain strong relationships with vendors and third-party suppliers.
* Support sourcing and procurement to ensure quality, cost efficiency, and value.
Creative & Production Input
* Contribute to the creative development of projects alongside integrated production, creative, content, and strategy teams.
* Ensure outputs align with client objectives, brand guidelines, and quality standards.
Risk & Quality Management
* Monitor project risks, proactively identifying and escalating issues to minimise impact.
* Support quality assurance across all deliverables to ensure consistency and excellence.
* Participate in regular WIP meetings with internal teams and clients to support effective planning and communication.
* Foster a collaborative team environment that supports productivity and innovation.

Required Skills & Qualifications
* Minimum three years' experience in event production, B2B, or corporate environments
* Solid understanding of creative, project, and event management principles
* Strong knowledge of suppliers and ability to build effective working relationships
* Highly proficient in Google Workspace and relevant project management tools
* Strong written and verbal communication skills
* A keen creative eye with the ability to contribute to the creative process
* Process-driven with strong attention to detail and accuracy
* Excellent customer service and stakeholder management skills
