Our team works collaboratively to provide high-quality, family focused services. Our Admininstrator (Client Care) team are essential to ensuring a warm, welcoming environment and the smooth operation of our clinic.
About the Role
We are seeking an organised and friendly Administrator (Client Care) who enjoys working as part of a team in a child-friendly environment. The role is suited to somone who can deliver both a high standard of client care and administrative services.
The role is a part-time fixed term contract for 6 months (20 hours per week Tues-Fri), with the opportunity to extend based on business needs.
What You'll Do
Key responsibilities include:
Client and Family Services
* Provide a warm and welcoming environment that supports positive experiences for children and families.
* Schedule, confirm, and manage client appointments, using practice management software.
* Manage client enquiries with empathy and professionalism.
* Manage intake of new referral clients and assist in management of waitlist.
* Answer phone calls and emails promptly and professionally
* Communicate clearly with clients, parents, referers and colleagues
Administrative Support
* Maintain accurate client records and documentation in accordance with established policies and standards.
* Account and invoice management, including processing invoices, ensuring all billing related tasks are handled with precision and accuracy.
* Sending written correspondence to others as required, including parents and external stakeholders
* Support clinicians with administrative needs such as filing, and preparing resources.
* Monitor and maintain office and clinic supplies, including and stationery and general supplies.
* Keep the reception and waiting room areas tidy, organised, and inviting for children and families.
Team and Practice Support
* Collaborate with therapist, director and other administrative team members to ensure smooth daily operations.
* Communicate effectively within the team to support client scheduling and practice needs.
* Assist with general administrative projects and contribute to process improvements.
* Uphold practice values of professionalism, teamwork, and family-centred care.
* Assist with social media management
