Job description:

About the role - This is a Fixed Term Position for 30th June 2026

The role provides day to day support to the Regional Transport division for ongoing activities and project works such as updating programme registers, producing regular reports, document control, invoicing and receipting and general business support.

This role will also provide administrative support for coordinating business meetings, prioritisation of any incoming issues, addressing or redirecting of urgent items and any other administrative matters requiring attention.

The role will apply conceptual and analytical skills to develop solutions, seek advice and ensure actions are fit for purpose and completed within the required timeframes.

Key Selection Criteria

To be successful as a Business Services Officer, you will need strong critical thinking and problem-solving skills, using available guidelines or working with others to resolve issues when solutions are unclear. Your ability to apply sound judgment and gather relevant information will support informed, effective decisions in a fast-paced environment.

Strong interpersonal and stakeholder management skills are essential. You'll need to understand the needs and perspectives of others, communicate clearly and appropriately, and maintain effective relationships to support service delivery. Prompt, professional responses to stakeholder requests and issues will ensure smooth operations and positive engagement.

You'll also be expected to prioritise tasks, follow plans, and contribute to continuous improvement by suggesting ideas and maintaining quality under pressure.

Resilience and collaboration are key—being open to new approaches, supporting team members, and staying focused and productive even during challenges will help you thrive in this role.

Position accountabilities

- Provide day-to-day administrative and divisional support, focusing on project delivery and ensuring tasks are completed in line with policies and procedures.
- Identify, initiate, and implement improvements to work practices, driving administrative and functional efficiencies for the division.
- Manage and respond to correspondence, tasks, and queries promptly and sensitively, ensuring effective communication and task management.
- Coordinate meetings, conferences, and stakeholder engagement to foster collaboration, using negotiation and influencing skills to align divisional objectives and priorities.
- In line with Section 31A of the Public Administration Act 2004 (Vic) other duties may be assigned consistent with employment classification, skills, and capabilities.

Qualifications and experience

- Driver's License (without any restriction which preclude the incumbent from performing the inherent requirements of the position and which cannot be reasonably accommodated by the Department) (mandatory).
- Experience in using Microsoft Office 365 (desirable).
