As an award-winning Australian manufacturer on a strong growth journey, we're looking for an Administration & Customer Experience Coordinator who thrives on organisation, enjoys working with people, and takes pride in keeping operations running smoothly behind the scenes.

This is a key role in our business — you'll be trusted, relied on, and genuinely valued.


The Opportunity:


This role sits at the heart of our operation. You'll support customers from first enquiry through to handover, work closely with sales, design, production, and accounts, and help ensure every interaction reflects the quality of our homes and brand.

What You'll Be Doing


Customer Experience & Sales Support:

* Manage and screen incoming customer enquiries via email, CRM, and social media
* Welcome walk-in customers, host display tours, and coordinate Zoom appointments
* Coordinate design appointments and final customer inspections
* Prepare and issue quotes, sales agreements, onboarding documents, and refund forms

Administration & Documentation:

* Prepare and collate compliance and build documentation from suppliers
* Maintain CRM systems and spreadsheets tracking leads, sales, production stages, warranties, and customer records
* Manage warranties and liaise with customers and management to resolve issues
* Liaise with customers and their engaged trades to ensure smooth installation and handover
* Provide general administrative support to management and internal teams

Accounts Support:

* Assist the Accounts Manager with invoice processing, accounts emails, data entry, and DEXT uploads for Xero review
* Support accounts receivable by issuing stage-based invoices, variations, and credits


Systems You'll Work With:


Experience is highly regarded, but training is provided for the right person:

* Xero
* DEXT
* Adobe
* Go High Level (CRM) or similar CRM platforms
* Gmail / Google Workspace


About You:


You'll excel in this role if you are:

* Highly organised, detail-focused, and proactive
* Confident communicating with customers, suppliers, and internal teams
* Comfortable managing multiple priorities without dropping the ball
* Tech-savvy and quick to learn new systems
* Professional, friendly, and calm under pressure

Bonus points if you have experience in:

* Residential construction, prefab, or modular housing
* Customer-facing admin or sales support roles
* CRM management or light accounts support
