About the Role
We are seeking an Administration Assistant who understands that first impressions count. In this role, you will be the welcoming face of Desert Blue Connect, providing compassionate and professional support to clients (often vulnerable) who may be experiencing crisis. Key responsibilities include:
* Serving as the first point of contact for all client inquiries, including phone, face-to-face, and online, and delivering exceptional, responsive customer service.
* Managing switchboard telephone inquiries and directing calls to appropriate team members.
* Overseeing client appointment bookings and providing reminders.
* Maintaining cleanliness and organisation of waiting areas, meeting rooms, and consultation rooms, as well as keeping notice boards and resource brochures updated.
* Ordering and distributing office supplies and consumables.
* Coordinating meetings, training sessions and events, including venue booking and catering arrangements.
* Upholding strict confidentiality for client, organisational and personal information.
* Accurately and promptly entering information into client electronic files.
* Managing databases and spreadsheets for reporting and evaluation purposes.
* Assisting with general administrative tasks, such as banking, filing, mail distribution, agenda preparation, meeting minutes and finance-related tasks.

Necessary Skills and Experience
* Qualifications and experience in business or business administration
* Proficiency with Microsoft Office suite
* Strong written and verbal communication skills
* Excellent interpersonal skills
* Organisational efficiency and attention to detail
Desirable Skills and Experience
* Experience in medical administration or reception
* Familiarity with software such as Best Practice and SHIP
* Ability to work well both independently and as part of a team
* Prior experience in an administration team
