Primary objective
To co-ordinate and deliver all administrative aspects of meetings of the Parole Board and the Liquor Commission including the
management of relevant correspondence pertaining to Board business.
Key duties and responsibilities
1. Create and maintain Board and Commission files; check all documentation and list matters before the Board and Commission and
request reports in a timely manner and review submissions to ensure they are accurate and to a high standard.
2. Prepare agendas/minutes/files and coordinate and manage Board and Commission attendance at respective meetings.
3. Prepare orders, instruments, documentation and correspondence for the Secretary and/or Chairperson's signature.
4. Accurately maintain registers, databases and record/statistical systems to support the Annual Report and all other reporting in a
timely manner.
5. Support the preparation of reports including collating and distributing relevant documents, correspondence, transcripts and other
reports.
6. Undertake duties relevant to the Board/Commission as directed by the Secretary/Chair.
7. Provide support to the agency support staff as directed.
Selection criteria
Essential
1. Proven ability to maintain confidentiality at all times and deal with sensitive issues in an appropriate and professional manner.
2. High standard of verbal and written communication skills; ability to interact effectively and sensitively with people at all levels within
and outside the Agency, including victims of crime.
3. An ability to interact effectively with people from diverse cultures, whilst maintaining a pleasant and polite manner.
4. High level organisational skills with successful experience in the co-ordination of meetings including preparation of agendas and
meeting papers and recording of minutes with a high level of accuracy.
5. Ability to use initiative and work effectively under pressure whilst maintaining a high attention to detail.
6. Demonstrated proficiency with the operation of a variety of computer programs and databases to ensure delivery of timely and
accurate administrative, statistical and registry functions or ability to gain in a timely manner.
Desirable
1. A basic knowledge of the functions, legislation and membership of the Liquor Commission and the NT Parole Board.
2. Previous experience interpreting legal/regulatory documentation.
3. Experience using mainframe case management and records management systems.
