Governance and Assurance Administration Kwinana

**Job Title: Governance and Assurance Administrator**

**Position Overview**:
**Key Responsibilities**:
**General Administration**:

- Provide administrative and logistics support to the GRA team.
- Handle ERP Order entry, receiving, and information extraction for team members.
- Direct GRA enquiries to the appropriate team member (internal and external).
- Organise and maintain GRA team correspondence and filing system.
- Prepare and process relevant documentation, including printing as required.
- Take minutes and offer practical administration support to the GRA team.

**Assurance Support**:

- Assist with data entry and gathering for month-end GRA reporting to senior executives and committees.
- Support the administration of the assurance program through data entry and report generation in the EHS reporting system.
- Assist with scheduling and logistics support for the established audit program.
- Input audit reports into the Document Management System (DMS) and correct actions in the EHS system.
- Schedule and coordinate management review meetings for SMS, EMS, and QMS.
- Liaise with internal stakeholders and external audit providers for upcoming audits against the audit plan.
- Follow up on the status of audit corrective actions and improvement plans.

**Systems & Subscription Administration**:

- Provide basic support and user administration of key GRA systems.
- Administer Safety and Environment bulletin subscriptions.
- Administer GRA Intranet SharePoint site.

**Document Management Support**:

- Facilitate overdue document review meetings and provide regular monitoring and reporting.
- Offer word processing support for updating document formatting and templates.
- Undertake Quality Control checks on submitted documents.
- Provide ad-hoc support for users of the Document Management System.

**Qualifications and Skills**:

- Previous experience in a similar administrative role.
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in relevant software and systems.
- Knowledge of governance and assurance processes is advantageous.
