Summary:
We are looking for a highly organised and professional Centre Administrator to join our team. This is a dynamic, varied role that sits at the centre of everything. From retailer relations and financial processing to marketing support and office coordination.
Primary Purpose of Role:
The Centre Administrator is the first point of contact for retailers, visitors and centre communications. You will play a critical role in keeping the centre management office running smoothly, managing shared inboxes, supporting financial processing, coordinating retailer onboarding and providing essential administrative support across the team.
Success in this role looks like a responsive, professional experience for every retailer interaction, accurate and timely processing with minimal rework, and clear escalation so nothing falls between the cracks.
Snapshot of your day:
* Serve as the first point of contact for retailer enquiries, calls and centre communications, triaging and escalating to the Retail or Administration Manager as appropriate
* Manage shared inboxes, call overflow and internal coordination to keep communications flowing seamlessly
* Perform daily receipting, accruals and initial sales and debt follow-up activities
* Raise and manage small-to-medium Purchase Orders and support PLI and sales collection processes
* Support tenant onboarding activities, including coordinating documentation and communications
* Assist with marketing activities, including campaign setup, gift cards and signage
* Conduct quarterly tenant contact reviews across Click Send, MRI and relevant spreadsheets
* Complete the My Buildings weekly inspection list review and maintain administration records, trackers and registers
* Provide general office and centre support, including meetings, supplies, team events and all CMO office administration
* Assist the Administration Manager with holiday hours coordination, pest control scheduling for food tenants, billing approvals and financial governance tasks
Desired Skills and Experience
About you:
* Proven experience in an administration, office coordination or centre management support role
* Professional, warm and responsive communication style, you are comfortable being the face and voice of the centre
* Strong organisational skills with the ability to juggle competing priorities and keep multiple tasks moving simultaneously
* Accurate and detail-oriented when handling financial processing, records and documentation
* Intermediate to advanced Microsoft Office skills; experience with MRI, Click Send, or similar property/retail systems is advantageous
* A proactive mindset. You anticipate what is needed and act before being asked
* Desirable: experience in a shopping centre, retail property or facilities management environment
