Simon Kennedy MP, Federal Member for Cook, is seeking a highly organised and proactive Executive Assistant to provide high-level administrative and operational support to his office. The EA will play a central role in ensuring the smooth running of daily activities across both the Electorate and Parliamentary offices.
The successful candidate will be an exceptional organiser, an excellent communicator, and a calm problem-solver who thrives in a fast-paced political environment. This role will suit someone with excellent judgement, strong interpersonal skills, and the ability to manage complex and sensitive matters with discretion and professionalism.
Main Responsibilities
Diary & Travel Management
Manage the MP's diary, ensuring public, professional and personal commitments are met
Organise all travel and logistics for the MP across parliamentary sitting periods and electorate engagements
Coordinate meetings, calls, events and conferences, including the preparation of relevant briefing materials
Stakeholder Relationship Management
Build and nurture relationships with community groups, local businesses, and electorate stakeholders
Build relationships with other MP offices and officials across Parliament
Create and maintain stakeholder maps
Maintain an accurate and up-to-date database of contacts
Finance Management & Administration
Track and manage office budgets and expenditure
Ensure effective resourcing of both Electorate and Parliamentary offices
Oversee office operations including rent, utilities, and equipment
Manage HR compliance, including training and parliamentary requirements (e.g., Register of Interests)
Correspondence & Communication
Manage all incoming communications across channels (including in-person, phone, email and post)
Distribute and assign incoming communications to the appropriate team members
Deal with some correspondence effectively and efficiently
Maintain and update the office database and record management systems
Skills and Experience
Demonstrated experience in a high-level administrative or executive support role
Proven ability to manage competing priorities under pressure
Outstanding organisational and time-management skills
Strong written and verbal communication abilities
Discretion, sound judgement and a high degree of professionalism
A proactive, team-oriented attitude with a problem-solving mindset
Familiarity with the Australian political and parliamentary systems is desirable
Salary and Conditions
Salary: Negotiable, dependent on experience
Conditions: Governed by the Members of Parliament (Staff) Act 1984 and the Commonwealth Members of Parliament Staff Enterprise Agreement 2020–2023
Probation: Offered on a 3-month contract in first instance
