Job Description

We are seeking a highly organized and detail-oriented Office Administrator to join our team. The successful candidate will be responsible for providing general office support, coordinating events, and maintaining staff travel profiles.

The ideal candidate will have strong administrative skills, excellent communication skills, and the ability to work in a fast-paced environment.


About You

* Strong organizational and multitasking abilities, able to prioritize tasks and projects
* Excellent communication and interpersonal skills
* Effective problem-solving skills
* Basic understanding on workplace health and safety (WHS) regulations
* Familiar with office maintenance and facilities management, building management experience advantageous


Responsibilities

* Office Management:
o Providing general office support to both offices including office supplies, refreshments, cleaning materials, kitchen inventory, ordering business cards, incoming and outgoing mail, courier services, carpark, other utilities, Fire & Safety, office equipment
o Coordinating the onboarding and induction processes for new team members and departure checklists for those moving on
o Maintain staff travel profiles
o Manage budgets and reporting
o Plan staff events, wellness initiatives, maintain medical insurance
* Property & Facilities:
o Identify maintenance needs and coordinate tradespeople, cleaning staff and vendors for maintenance and repairs
o Act as the liaison with building management at both sites
o Be first point of contact for technology issues and coordinate resolutions with our Tech department
o Manage Access protocols
* OSHA Coordination:
o Ensure full compliance with OSHA regulations and safety standards as mandated by the Department of Occupational Safety and Health (DOSH) under the Ministry of Human Resources.
o Maintain up-to-date knowledge of legislative and regulatory changes affecting workplace safety.
o Conduct regular safety inspections and audits to identify and mitigate risks
o Attend and contribute to Workplace Health and Safety (WHS) Committee meetings
o Coordinate and facilitate safety training programs, including fire drills and emergency
