The Hutchins School is seeking a highly organised and personable Executive Assistant to the Head of Middle School to play a pivotal role in supporting the day-to-day operations of our Middle School (Years 6–8).
This is a dynamic and varied role suited to someone who thrives in a fast-paced environment, enjoys working with people, and takes pride in delivering high-quality administrative support.
About the role
Working closely with the Head of Middle School, you will be at the heart of the school's operations—providing confidential executive support, coordinating events, managing communications, and ensuring the smooth running of administrative processes.
You'll also be a key point of connection for staff, students and families, contributing to a welcoming and professional school environment.
This is a permanent position working 38 hours per week during school term time only, equating to 0.843 FTE.
Key responsibilities
* Provide high-level administrative and executive support, including diary management, correspondence and document preparation
* Coordinate key Middle School events, including Orientation Days, parent evenings, conferences and assemblies
* Manage the Middle School calendar, reporting processes and key communications to families
* Organise major activities such as the Year 6–8 Canberra Tour
* Prepare minutes, and school documentation with a high level of accuracy
* Support budget monitoring, purchasing processes and record keeping
* Assist with reception duties and provide support to students, staff and families as needed
* With the Receptionist, provide First Aid support and administration of daily medication to Middle School students
* Maintain strong relationships with staff, parents/carers and the wider school community

You are a proactive and detail-oriented professional who enjoys working in a collaborative school environment. You bring warmth, discretion and strong organisational skills to everything you do.
You will demonstrate:
* Excellent written and verbal communication skills
* Proven experience in administrative or executive support roles
* Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
* Strong organisational skills with the ability to manage competing priorities
* A high level of accuracy and attention to detail
* Confidence using Microsoft Office and database systems
* A calm, professional approach when handling sensitive situations
* A genuine commitment to supporting young people and school communities
