Our organization is seeking a highly motivated and detail-oriented Property Portfolio Coordinator to support the management and coordination of our diverse leasehold property portfolio across NSW and the ACT.
About the Role:
This role would suit a commercial or residential property professional wanting to take on a challenging career opportunity.
* Support the Property Management team in end-to-end property processes, including acquisitions, disposals, transactions, and contracts.
* Negotiate Residential Tenancy Agreements (RTAs) with landlords and agents.
* Liaise with internal stakeholders to manage leases, memoranda of understanding, and hire agreements.
* Ensure lease compliance and manage day-to-day lease administration (as both Lessee and Lessor).
* Oversee financial aspects of leasehold management, including budgeting, processing invoices, purchase orders, and resolving discrepancies.
* Review and reconcile financial reports in collaboration with the Finance team.
* Process and monitor rental payments, ensuring timely delivery in partnership with Finance.
* Prepare presentations and reports for internal stakeholders using Microsoft Office tools.
* Assist in the coordination of projects and support outputs across the Property Management team.
* Maintain accurate records and registers for leased properties, financial commitments, and contract documentation.
* Manage team diaries, book meeting rooms and venues, and organize internal planning sessions.
* Administer and maintain document storage systems, including databases.
The ideal candidate will have:
* A minimum of three years' experience in commercial or residential property management.
* A current NSW Driver's Licence is essential.
* Proven expertise in property transactions such as leasing, sales, acquisitions, and sale-and-leaseback strategies.
* An understanding of regulatory requirements related to property transactions.
* Experience engaging with external stakeholders including landlords, agents, and property owners.
* Strong skills in financial management and reporting.
* The ability to work across disciplines and support teams delivering services to vulnerable communities.
* Excellent verbal and written communication skills with a high level of attention to detail.
* Highly organized, systematic, and self-disciplined.
* Strong relationship-building and stakeholder management skills, with the ability to influence without direct authority.
* Proficient in Microsoft Office with intermediate or higher skills in Excel.
