Operations & Administrative Officer

Requirements:
* NDIS experience essential – minimum 3 years preferred or proven in a similar role
* Strong organisational and communication skills
* Ability to work autonomously and adapt to a dynamic environment
* Familiarity with NDIS Practice Standards, incident management, and quality assurance processes
* Proficiency with Excel, PandaDoc, Xero, ShiftCare and basic data management or fast ability to learn these softwares.

The Role:
As an Operations & Administrative Officer, you will be central to the efficient running of our service delivery. You will manage rostering, administration, and assist with the ongoing compliance and quality processes that ensure high-quality supports for participants.
Key responsibilities
* Develop and manage accurate rosters to ensure consistent coverage for all participants and services
* Coordinate scheduling with support workers, participants, coordinators and families
* Process timesheets, leave requests, and payroll-related tasks in a timely, accurate manner
* Support incident reporting, investigation, and closure; contribute to root cause analysis and corrective actions
* Assist with NDIS compliance tasks, documentation, audits, and quality
improvement initiatives
* Oversee audits and the investigation of incidents and complaints
* Drive continuous improvement and promote a culture of safety, quality, and accountability
* Support documentation, reporting, and compliance with NDIS requirements
* Liaise with participants, families, carers, and service providers to ensure smooth operations
* Everyday administration tasks
* Maintain participant data in our systems
* Liaise with internal teams and external providers to resolve scheduling and service delivery issues
* Contribute to continuous improvement of processes and workflows to enhance participant satisfaction and safety
* Following up with staff regarding shifts, documentation, and performance
* Acting as a first point of contact for participant and staff inquiries
* Supporting management with reporting, planning, and communications
* Support HR and Paycat
* Assist with on call from time to time
