Job Purpose:
Provide effective administrative support for the service, incorporating the use of new technology and working collaboratively with colleagues across Children's Services to ensure that Wirral is an excellent place for children, young people, and their families.
Duties:
1. Carry out efficient general admin/office and reception duties to support colleagues in the directorate in performing their roles, according to the nature of the Team.
2. Maintain and order goods and services, including booking transport and accommodation, and process professional fees.
3. Collect and input data into various systems/databases.
4. Filing, scanning, photocopying, and emailing documents.
5. Collect and distribute mail.
6. Assist in maintaining paper and electronic case files.
7. Provide word processing and typing services.
8. Prepare written correspondence as required.
9. Manage diaries, including booking associated rooms.
10. Cash handling responsibilities.
11. Maintain relevant in trays.
12. Take minutes at events and meetings, send invitations, coordinate agendas and associated papers, book and set up relevant rooms, circulate minutes, and coordinate refreshments.
13. Search for names within subject access requests and redact accordingly.
Responsibilities:
1. Offer support, advice, and guidance on administrative issues to colleagues, managers, service users, and external agencies.
2. Assist in the day-to-day running of operational support.
3. Help record and produce statistical management information, providing simple reports from systems where necessary.
4. Develop spreadsheets, maintain appropriate recording and information systems, and assist in ensuring data quality is maintained.
Requirements:
* The ability to handle data/documentation securely and in accordance with data handling principles/policies, as per council training.
* Competence in relevant Microsoft packages.
* Able to converse effectively orally and in writing with colleagues, agencies, and members of the public, and provide clear advice.
* Good time management and ability to prioritize workload to meet the demands of the service.
Experience:
* Working with information and providing reports.
* Working with a range of databases and information systems.
* Experience in Business Administration functions and applications.
* Able to work independently.

Qualifications:
* Advanced qualifications, such as IT, databases, and software. NVQ Level 2/3 Business Administration / Customer Care or equivalent. Training/qualification in administration, finance, and budget management.
