Job Overview
We are seeking an organized and diligent Executive Coordinator who shares our passion for evangelism and wants to join our dynamic team in Maroochydore, Australia.
The Executive Coordinator is responsible for providing high‐level administrative and coordination support to Maroochydore Hub‐based executives and CV's Co‐Chair. This role ensures operational continuity across leadership by coordinating administrative operations, including travel arrangements, calendar management, financial and non‐financial record keeping, while also supporting stakeholder communication, preparing meeting materials, and tracking follow‐up actions as needed. Working in conjunction with other Executive Coordinators, this role helps to facilitate global meetings and collaboration, while maintaining a high level of professionalism and discretion.
The Executive Coordinator will also play a critical role in record‐keeping and meeting coordination for company directors based in Maroochydore, Australia.
Specific Responsibilities
* Provide comprehensive administrative support to the Executive Directors and Co‐Chair.
* Coordinate and manage schedules, meetings, and travel arrangements, ensuring all logistics are efficiently handled.
* Assist with hosting guests and coordinating hospitality arrangements for visitors.
* Work collaboratively with other Executive Coordinators, based in different Hubs.
* Prepare and edit correspondence, communications, and other documents, as required.
* Manage and maintain effective filing systems and databases.
* Support record‐keeping for company directors, ensuring all documentation is accurate and up‐to‐date.
* Assist in minute‐taking and board pack preparation, as required.
* Help co‐ordinate communications amongst stakeholders, as required.
* Handle confidential information with discretion and professionalism.
* As part of a global organisation, you will occasionally be required to collaborate across time zones, which may require out‐of‐hours availability.

Skills, Experience And Education
* Minimum of 2-3 years of experience in an executive support or administrative role.
* A degree in Business Administration, Management, or a related field is advantageous.
* Strong organisational and time‐management skills with the ability to prioritise tasks effectively.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office Suite and other relevant software.
