One of Australia's largest not-for-profit organisations is seeking a capable Team Leader, Administration to join their collaborative Secretariat team. Reporting into the Associate General Secretary, this key role sits within the Secretariat which is the Executive Office and has responsibility for the oversight and leadership of the Secretariat administration team.
The purpose of the role is to oversee Secretariat administration functions, to ensure efficient workflow as well as providing support in assigned Secretariat tasks. Working collaboratively with other departments, building and maintaining relationships across the wider team including Committee members and a range of other internal and external stakeholders.
**This is a newly created role with a huge amount of scope and will be responsible for**:
- Assist the Associate General Secretary and Executive Assistant in developing and resourcing Regional Partnerships
- Manage and oversee the workflow of the Secretariat to ensure agreed timelines are met
- Provide high level administration to assigned tasks and ad-hoc projects
- Provide administrative support and back up to Secretariat Executives and Services Manager
- Develop and maintain effective working relationships with a range of internal and external stakeholders
- Maintaining a high level of customer service and customer satisfaction and escalating matters where appropriate
- Oversee the Contacts Database and ensure information is relevant and accurate on a regular ongoing basis
- Provide support for the Committees and ensure action items are processed within agreed timeframes
- Assist with arranging the Synod meeting
- Develop and update policies, processes and templates relevant to the Secretariat
**You will have**:
- Tertiary qualifications in relevant field
- Proven experience in administration
- A minimum of 5 years' experience in leading a team / managing staff
- Ability to lead, manage and motivate people in a values-based organisation
- A strong understanding of administration, operations and communication
- Managing competing priorities, with the ability to work under pressure and meet deadlines
- Proven capacity to build and grow partnerships, develop relationships and work collaboratively with others to meet organisational objectives
- Demonstrated ability to manage multiple projects with high quality and exceptional customer service
- Effective time management skills and strong computer literacy skills
- Proactive and self-motivated
- Willing to adapt to a complex environment and promote change and continuous improvement
- Attention to detail, excellent oral and written communication and interpersonal skills including the confidence to approach and deal with sensitive issues and relationships
