m3architecture is looking for a Studio / Operations Manager. This is a vital role in ensuring the seamless operation and long-term sustainability of the practice. Sitting at the intersection of finance, people, projects and compliance, this position is responsible for overseeing the systems, processes and day-to-day functions that enable the studio to operate efficiently, support its people and culture, and deliver exceptional work. You will work in a collaborative environment, as part of the business support team which includes the studio assistant and the marketing and communications coordinator.
This is a highly trusted and influential role, working closely with the directors to provide operational clarity, financial oversight, and strategic support across the business.
Responsibilities Include But Are Not Limited To
Finance
Liaise with external Accountant and Bookkeeper
Manage Accounts Receivable: draft and issue invoices, enter into MYOB, and reconcile incoming payments
Manage Accounts Payable: review invoices, allocate correct MYOB accounts, reconcile credit card transactions, and arrange payments where required
Reconcile subconsultant payments
Human Resources
Maintain staff records and work arrangements
Coordinate payroll with Bookkeeper, including reconciling leave and timesheets
Manage recruitment, onboarding, and offboarding processes
Coordinate staff performance reviews
Review and approve timesheets
Health, Safety & Quality Management System (HSQMS)
Maintain HSQMS and relevant certifications
Conduct internal audits and support external audits
Insurance and Compliance
Liaise with insurance brokers for renewals and claims
Coordinate Climate Active data collection and annual recertification
Maintain professional registrations and industry memberships (QLD, NSW, ACT)
Operations and Administration
Oversee Studio Coordinator
Prepare reports and provide information for Directors' meetings
Maintain office registers, including assets and software
Set up new projects
Maintain project management systems (e.g. BQE Core)
The successful candidate will have excellent communication and interpersonal skills, display a high level of attention to detail, be highly organized and efficient, have good IT knowledge and experience, be proficient in Microsoft 365 (Outlook, Word, Excel), MYOB, BQE Core or sim experience preferred. The role is a full-time position (40 hour week Mon-Fri).
Centrally located, our warehouse studio in Brisbane's inner-city Petrie Terrace is close to public transport, with an end-of-trip facility that encourages active commuting. Many of us cycle or walk to work – we lead by example and are proudly certified carbon neutral by Climate Active.
